Position Summary:
The Facilities & Offices Manager is responsible for the safe and appropriate management of the Witherite Law Group office space and fixed assets in our Atlanta office. This role has site supervisory responsibility and is primarily tasked with overseeing office services and facilities, including the firm’s mail, office furniture, fixtures, equipment, and supplies. The Facilities & Offices Manager assists with purchases, vendor contracts, and provides leadership in coordinating resources to maximize successful operations.
Essential Duties/Responsibilities:
Maintains the operations in a split of approximate time for office services (70%) and facilities (30%) including:
- Security maintenance- badging and office key management
- Supply ordering and restocking (hands-on)
- All Mail services - external, intraoffice and interoffice mail processing
- Ring Central/Max Agent/Nice InContact Analyzation and Reporting
- Building and facilities requests
- Office and furniture moves
- Office furniture purchases
- Building and tenant relationships, including parking, gym, and building access
- Security ingress/egress and security cameras
- Archiving and Shredding Services
- Copier and printer contract management
- Assist in Vehicle Fleet Maintenance for their office location
- Emergency preparedness
- Maintenance of First Aid Cabinets and AED machines
- Janitorial quality assurance
- Vendor management
- Asset management with WASP (Asset audits and Inventory)
- Ensures all Office Services related policies and procedures are enforced
- Responsible displaying and keeping up to date with EEOC, Federal Labor Laws, Firearm codes
- Key stakeholder in the firm’s Emergency Preparedness Program and responds to firm emergencies to ensure employees and visitors are safe and prepared for emergency situations
- Manages vendor relationships and collaborates with firm leadership on requests for proposals, contract negotiations and fulfillment of existing relationships
- Actively seeks cost-saving opportunities for the firm
- Performs other duties as required
Work Experience Requirements:
- Excellent organizational skills with outstanding attention to detail
- Exceptional time management, multi-tasking, and critical thinking skills
- Proven leadership skills in both team and individual environments
- Ability to maintain a high degree of discretion
- Proficient in Microsoft Office (Word, Outlook, Excel) and Needles (preferred)
- Excellent verbal and written communication skills on the phone, in person, and email
- Occasional travel required
Education Requirements:
- Bachelor’s degree or equivalent in work experience.
- Project Management Professional (PMP), a plus
Physical Requirements:
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Some overtime may be required to timely accomplish work demands.
- Occasional walking around the office to access filing cabinets, meeting rooms, office machinery, etc.
- May occasionally move supplies weighing up to 20 pounds for various business needs.
