Responsibilities:
- Answering Phones: You'll be the first point of contact for patients calling the medical office. You'll need to answer calls promptly, professionally, and with a friendly demeanor.
- Scheduling Appointments: Patients will call to schedule appointments, and you'll need to manage the appointment calendar efficiently. This includes scheduling new appointments, rescheduling, and canceling appointments as necessary.
- Verifying Insurance Information: You may need to collect and verify insurance information from patients over the phone to ensure smooth billing processes.
- Providing Information: Patients often call with questions about the services offered, office hours, location, and directions. You'll need to provide accurate information or direct them to the appropriate resource.
- Handling Inquiries and Concerns: Patients may have concerns or complaints that they need assistance with. You'll need to listen empathetically, address their concerns, and escalate issues to management if necessary.
- Maintaining Patient Records: You might be responsible for updating patient records, including demographic information, insurance details, and appointment history.
- Coordinating with Medical Staff: You'll work closely with medical staff to ensure that patients are seen in a timely manner and that any urgent matters are appropriately prioritized.
- Adhering to Privacy Regulations: Patient confidentiality is crucial in a medical setting. You'll need to ensure that you handle patient information in compliance with HIPAA regulations.
- Assisting with Administrative Tasks: This might include tasks like filing paperwork, organizing patient files, and managing office supplies.
- Maintaining a Professional Demeanor: Regardless of the situation, maintaining a calm and professional demeanor is essential in dealing with patients over the phone.
