Job Summary:
The Medical Administrative Support Specialist is responsible for coordinating patient appointments, managing communication with patients, and supporting clinical operations. This role involves handling both outgoing and incoming patient communications, maintaining accurate records, and assisting with various administrative tasks to ensure smooth clinic operations.
Key Responsibilities:
1. Appointment Scheduling:
- Call patients to schedule their appointments.
- Utilize Epic to send appointment messages to patients if applicable.
- If a patient is not reached after several attempts, follow up with a letter.
- Review inboxes for appointment requests.
2. Incoming Calls and encounter management:
- Document patient needs and actions taken during incoming calls.
- Determine and document if the patient is eligible for Chronic Care Management (CCM).
3. Authorization and Referrals and miscellaneous:
- Handle pre-authorization requests.
- Manage overflow referrals to ensure timely processing.
- Update the lab interface with diagnosis requests as necessary.
- Review fax and assign to provider or submit for records request.
4. Medical Assistant Coverage:
- Provide coverage for medical assistants during their vacations or when they call off.
- Assist with clinical tasks as needed to ensure continuity of care.
Qualifications:
- High school diploma or equivalent; additional education in healthcare administration or related field preferred.
- Previous experience in a medical administrative support role is desirable.
- Strong organizational and multitasking skills.
- Excellent communication skills, both verbal and written.
- Proficiency in using healthcare information systems and applications.
- Ability to work collaboratively in a team environment.
Work Environment:
- The position requires working in a clinical office setting.
- Must be able to handle multiple tasks and work efficiently under pressure.
Physical Requirements:
- Ability to sit for extended periods.
- Manual dexterity for using computer and phone systems.
- Occasionally may need to lift or move office supplies or equipment.
