The Office of Health Information and Data Science (OHIDS) seeks an organized, analytical administrative coordinator with exceptional written and verbal communication and problem-solving skills to handle office duties and optimize office operations. The administrative coordinator will coordinate staff services, interoffice activities, schedules, programs, and related administrative needs.

This position reports to the Manager of Administrative Services & Support and is part of the shared-services administrative support team. The candidate will provide direct administrative support to senior faculty and staff to advance OHIDS’s research, education, and service mission.
Primary Duties & Responsibilities

Provides administrative support to senior faculty and staff.

Coordinates staff services, interoffice activities, schedules, programs, and related administrative needs, including special speakers, faculty and student recruitment visits, and other special events/guests as needed.

Coordinates the weekly Scientific Seminar Series and the Monthly All Employee Town Hall.

Administers/prepares agendas, reports, minutes, correspondence, lectures, and administrative materials required for the direction of the institute.

Assists with special projects and process improvement measures.

Manages the pick-up and distribution of department mail.

Monitors the general maintenance of office space, notifies maintenance of problems, places work orders, and follows up with housekeeping on completing tasks.

Monitors office supplies and coordinates orders with the finance team appropriately.

Assists with visitors' and customers' questions and needs.

Performs other duties as assigned.
Preferred Qualifications

Working knowledge of general office equipment.

Familiarity with a range of virtual meeting and presentation platforms (Zoom, Microsoft Teams, Google Meet, Webex, etc).

Effective verbal, written, and interpersonal communication skills.

High degree of emotional intelligence and interpersonal skills.

Bachelor’s degree.

Proficiency with Microsoft Office applications: Outlook, Teams, OneNote, Excel, Word, and PPT.

Knowledge of Workday business platform.

High school diploma or equivalent high school certification.
-
Three years of relevant experience.

$20.76 - $32.21 / Hourly
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
