The Center for Tech and Civic Life (CTCL) is a nationally-recognized nonprofit connecting Americans with the information they need to become and remain civically engaged, and working to ensure U.S. elections are more inclusive and secure.
The Executive Assistant is a member of the Operations Team and reports directly to the Operations Director. The Operations Team supports the board, the executive director, and five different departments of soon to be over 50 staff members total. We are a small, but mighty team that balances the principles of efficiency and effectiveness with the values of determination, inclusion, collaboration, curiosity, and reflection.
As the Executive Assistant, you will be providing dedicated support to the Executive Director helping them to perform at their highest level and contribute to the success of our civic mission.
Responsibilities

Receive and review all incoming communication (hundreds/day) for the Executive Director
Determine priority, and summarize and/or distribute contents to appropriate staff for action
Ensure follow up within a timely manner (within two business days)

Manage the Executive Director’s very full meeting and travel calendar
Schedule meetings with internal and external stakeholders
Identify and prioritize the most sensitive matters
Safeguard the Executive Director’s time and support them in setting boundaries
Anticipate potential challenges and independently resolve them
Identify opportunities for efficiency and implement systems to take advantage of them
Confidentially take notes and manage action items
Arrange travel and logistics for the Executive Director
Provide in-person support at events and meetings
Track and reconcile expenses
Serve as a liaison between the Executive Director and stakeholders, partners, colleagues, staff, funders, and board
