PRIMARY FUNCTIONS:
· Purchasing
o Work with Project Managers, Engineers, Superintendents, and Field Foreman to seek and obtain price quotations for warehouse and job specific materials.
o Verify correct product needed from Superintendent or Project Manager prior to ordering
o Request quotes from vendors; review each quotation for best pricing and timing. Select the vendor that meets the needs of each order placed.
o Inform necessary parties for any price increases on everyday commodities.
o Write each purchase order in Pro Contractor, save as PDF in the appropriate job folders, and send PDF copy of purchase orders to the supplier.
o Manage and track each purchase order to ensure all items are received in a timely manner, reflective of each job.
o Frequently track the status of any order that incurs an unexpected delay. Document reasons for delay and promptly discuss each respective delay with project team.
o Cultivate and maintain good relationships with each Columbia Electric, Inc. vendor.
o Work with vendors to ensure they are meeting agreed upon dates. Ensure all materials ordered are received and delivered in a timely manner to limit project delays.
o Develop, maintain, and update vendor list.
o Track all orders requested by field members and update truck files when purchased (I.E. Power Tools, Hand Tools, PPE Gear).
o Work with third party tow companies to move equipment as needed.
o Communicate with warehouse staff for items moved to backorder.
o Keep track of open purchase orders and delivery dates for items on backorder.
o Allocate stock material to correct jobs when given by field.
o Work with rental companies to schedule delivery, transfer, and pick- up of all rental equipment and/or portable restroom.
o Monitor rental reports and look for items frequently rented. Recommend items that would be better to purchase to Management.
· Accounting
o Verify the material delivered matches the packing slip.
o Confirm the material received is the correct item ordered and matches Columbia Electric Inc.’s purchase order, estimate, and quote.
o Once the item is verified, receive the packing slip into Pro Contractor and give the physical slip to the Accounting Dept.
o Copy all packing slips and electronically file into appropriate job folder labeled “Packing Slips”.
o Review invoices for accuracy of pricing and quantities for each line item. Work with vendors and accounting to resolve price discrepancies and any other issues that may arise.
o Provide all packing slips to the Accounting Dept. once all materials have been verified, stamped, and recorded with a receive date.
o Maintain and update purchase orders in ProContractor to ensure the items ordered were received and confirm the pricing matches the initial quotation.
o Report damages and discrepancies for accounting, reimbursement and record-keeping purposes, and report defective materials or questionable conditions to the department supervisor.
o Notify Warehouse Manager, Superintendent, and Project Manager when long lead time materials arrive.
o Communicate with the warehouse team to make sure all materials are tagged with the proper job number.
o Work with the warehouse team to manage day-to-day activities of all shipping and receiving.
o Track all credit card purchases and provide receipts to the Accounting Dept.
· Additional Duties
o Perform other miscellaneous duties as assigned.
EDUCATION, EXPERIENCE, & SKILLS REQUESTED:
o Minimum of High School Diploma or Equivalent
o Proficient in Microsoft Suite (Outlook, Excel, Microsoft)
o Good communication skills with team in both verbal and written
o Ability to do math calculations
o Ability to take direction and complete tasks as received in a fast-paced environment
o Ability to work full time in a team environment
o Ability to sit for long periods of time
o May be asked to squat/ lift/ push/ pull materials of more 15 pounds at times
o Good attendance, motivated, and a self-starter is a must

Pay: $52,247.00 - $64,000.00 per year
