Position Title: Administrative Coordinator

Reports to: Senior Vice President of Therapeutic and Clinical Services
Position Objective and Summary:
UCAN is seeking a highly organized, efficient, and dedicated Administrative Coordinator to support the Senior Vice President of Therapeutic and Clinical Services. This role is pivotal in ensuring smooth operation within the departments, including our Residential Facility, UCAN Academies, and Behavioral Health services. The ideal candidate will possess strong administrative skills, an understanding of therapeutic and clinical settings, and the ability to manage multiple priorities in a fast-paced environment.
Essential Functions and Responsibilities:

Administrative Support: Provide comprehensive administrative support to the Senior Vice President of Therapeutic and Clinical Services, including managing calendars, scheduling meetings, preparing documents, and handling correspondence.

Communication Facilitation: Serve as a liaison between the Senior Vice President and other departments, external partners, and stakeholders. Ensure clear and effective communication channels.

Document and Record Management: Maintain confidential client and staff records, ensuring they are updated, stored, and retrieved in accordance with legal requirements and company policies.

Meeting and Event Coordination: Organize and coordinate meetings, conferences, and training sessions, including logistics, attendees, agendas, and follow-up actions.

Project Support: Assist with the implementation of departmental projects, tracking progress, and ensuring deadlines are met.

Budget Assistance: Help oversee the department’s budget, processing invoices, and assisting with budget preparation and monitoring.

Data Analysis and Reporting: Collect, analyze, and present data related to service outcomes, staff performance, and operational efficiency to support decision-making.

Regulatory Compliance: Assist in ensuring that services comply with all regulatory, licensure, and accreditation requirements.
Education/Job Experience/Certification:

Bachelor’s degree in Business Administration, Healthcare Administration, or related field.

3+ years of administrative experience, preferably in a healthcare or therapeutic setting.

Strong organizational and time-management skills.

Excellent verbal and written communication abilities.

Proficient in Microsoft Office Suite and familiar with electronic health record systems.

Ability to handle confidential information with discretion.

Knowledge of healthcare regulations and accreditation standards is a plus.

Working Environment: This position is based in our headquarters with the possibility of occasional travel to our various service locations. Standard office hours with the flexibility required to accommodate meetings and events outside of regular hours.
