Successful mid-sized electrical contractor in Santa Clara is seeking a highly-motivated, proactive Front Desk Administrative Assistant to support our daily operations. This person will be responsible for providing general assistance to all levels of staff and ensuring that all tasks are completed efficiently and in a professional manner. The company prides itself on a laid-back, but fast-paced work environment with a family-like atmosphere that includes regular lunch outings and BBQs. You will see and learn all facets of the company in this position. You will be given the opportunity to learn and grow while working directly with owners and management.
Responsibilities and Duties
- Create a positive first impression by greeting guests in a friendly and professional manner
- Receive, sort, and distribute mail/deliveries/documents daily
- Answer, screen, and forward incoming phone calls
- Data entry into various platforms, as needed
- Take regular inventory and order supplies for office and break room
- Maintain company break room and conference rooms, keeping them neat and stocked
- Coordinate onboarding of newly hired field employees, issue required PPE, and coordinate dispatch to job site
- Assign online safety orientation & harassment prevention training course to all new employees
- Manage expiration dates for certifications and safety training
- Help to coordinate issuing mobile devices to employees as needed
- Handle all phone and email requests from the field team
- Daily lunch coordination for office team
- Assist in planning and setting up for company meetings and events
- Create marketing material as needed
Required education/skills:
- Microsoft Office (Excel, Word, Outlook)
- Self-starter, able to multi-task
- Willing to learn and take initiative
- Strong people skills
- Attention to detail
- Previous electrical construction experience preferred
- Excellent time management and ability to work independently
- Excellent written and verbal communication skills
