Job Title: Administrative Assistant
Reports To: Pastor-pastorstpaultreynor@gmail.com
Position Status: Part-time (20-25 hours) – non-exempt. Pay based on experience.
The Administrative Assistant is the lead staff person ensuring quality administrative practices for the church. This person works collaboratively to support staff, members, and volunteers.
Office Management:
· Reception desk duties including: answering phones, sorting mail, and scheduling church space
· Maintain inventory of office and church supplies
· Use and coordinate service for office equipment
· Recruit volunteers for office work and worship volunteers
· Meeting preparation-preparing agendas, printing, and assembling information
Communications:
· Prepare, produce, and distribute newsletters as appropriate via mail, Facebook, or email
· Prepare, produce, and distribute mass email communications
· Update church website
· Create and plan social media posts
· In collaboration with the pastor, prepare and print all bulletins.
· Assist with creating verbal announcement document for worship services
· Prepare reports including financial, annual and semi-annual, and yearly report of the Office of the Secretary of the ELCA
Information Management:
· Using the church database, maintain church membership records and contributions
· Maintain files and records of all financial and business transactions, historical files, and employment files
· Maintain archive of church council minutes, congregation meeting minutes, and annual reports
Financial Management:
· Make weekly deposits
· With the accounting firm and treasurer, coordinate payment of bills
· Reconcile credit card statements
· Working knowledge of Microsoft Office, Google drive, Square Space, and Canva is highly desired
· Previous database experience preferred
· Adaptable and flexible
· Team-oriented
· Excellent interpersonal skills
· Able to work with occasional interruptions that happen as a part of a busy ministry setting
· Ability to work independently, organized, able to prioritize, and following through
· Strong communication skills
· Trustworthy and maintains confidentiality
· Some post high school education highly desired
Previous administrative experience strongly preferred
Job Type: Part-time
Pay: $18.00 - $20.00 per hour
Expected hours: 20 – 25 per week
