Position Summary
Responsible for ensuring that all security measures are maintained for medical records.
Essential Duties and Responsibilities
- Maintains all closed medical records.
- Responds to requests for medical records.
- Pulls records as requested by staff.
- Files documentation presented by clinical staff.
- With appropriate, signed request for information, copies record upon appropriate request for billing, legal services, or medical records requests.
- Request historical records from other organizations according to policy.
- Knows standards for medical records maintenance and ensures compliance with all state, federal, and Joint Commission requirements.
- Tracks information needed to meet medical record standards, auditing the records and ensuring the records are complete before they are closed.
- Keeps supervisor informed of problems or issues; monitors supplies needed.
- Performs all other duties as required or assigned.
- Responsible for entering of coding as appropriate for Skywood & Detroit IOPs.
- Serves as facility Privacy Officer and expert on privacy standards related to medical records and HIPAA guidelines.

- Ability to inspire client confidence in the FRN Staff and the FRN Model of Treatment.
- Ability to consistently demonstrate through conduct and communications the stability required to effectively assist patients and their family members through the FRN Model of Treatment.
- Must have high level of interpersonal skills. Position continually requires demonstrated professionalism, tact and diplomacy.

- Ability to pay continual attention to detail.
- Excellent organizational skills with the ability to prioritize workload and meet deadlines.
- Exercise good judgment and successfully handle ambiguity.
- Understanding of diverse cultures.
- Understands need for and maintains appropriate confidentiality at all times when interacting with patients, residents, families, visitors, referral sources and all other contacts.
- Must have strong knowledge of a variety of computer software applications in word processing and spreadsheets (MS Word, Excel).
Education and Experience
- Degree in job-related field preferred.
- Minimum of 2 years of experience working with medical records preferred.
Work Environment and Physical Demands
- Ability to be physically mobile; however, long periods of sitting will be required.
- Ability to lift, pull or push up to 40 lbs.
- Ability to be physically mobile, climb stairs, traverse the campus on uneven, hilly terrain.
- Constant use of computer requiring manual dexterity and visual acuity.
- Ability to read, write and analyze detailed information.
- A current, valid driver’s license and a clean driving record is required for use of company vehicles and occasional business travel.
- Due to the 24/7 operational demands, must be available after normal working hours and on holidays to manage emergencies that may arise.
