We are seeking a highly skilled in Excel and experienced Executive Assistant to provide comprehensive administrative support to our Chief Operating Officer (COO) in the healthcare industry. The ideal candidate will possess expert-level proficiency in Microsoft Excel including creating and editing financial and accounting spreadsheets and data reports, creation of presentations, ability to travel with limited notice, and ability to have some extended work hours and weekend flexibility. Project coordination and event planning a big plus!
Responsibilities:
- Administrative Support: Provide high-level administrative support to the COO, including managing calendars, scheduling meetings, arranging travel, and handling correspondence.
- Excel Expertise:_ this is 75% of job duties!_ Utilize advanced Excel skills to create and maintain spreadsheets, Financial and accounting spreadsheets, analyze data, and generate reports for the COO. Proficiency in functions such as VLOOKUP, PivotTables, and data visualization techniques is essential.
- Project and Event Coordination: Assist in coordinating special projects and initiatives as assigned by the COO, including researching relevant information, compiling data, and preparing presentations.
- Communication: Serve as a liaison between the COO and internal/external stakeholders, ensuring timely and professional communication at all times.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality in all aspects of the role.
- Organization and Efficiency: Maintain organized systems for managing documents, files, and other important information to facilitate efficient workflow for the COO.
- Ad Hoc Tasks: Perform additional tasks and responsibilities as requested by the COO to support the smooth operation of the executive office.
Qualifications:
- Proven experience as an Executive Assistant or similar role, preferably in the healthcare industry.
- Expert-level proficiency in Microsoft Excel, with the ability to manipulate data, create complex formulas, and generate detailed reports., including expertise with financial/accounting spreadsheets and formulas.
- Ability to travel with limited notice, ability to ride/work in car.
- Strong familiarity with medical terminology and the ability to accurately transcribe medical documents.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Exceptional communication and interpersonal skills, with the ability to interact professionally with individuals at all levels under pressure.
- High level of discretion and confidentiality.
- Bachelor’s degree preferred, but not required.
Duty Hours expectations: 40-50 hours a week, 8-5pm with a few extended hours in the evening during the week, Some weekends for events or special project deadlines.
Travel: 25%, must be able to ride in car and work on laptop if needed, must be able to fly, limited notice given but any travel is paid for.
Position is not remote, completely onsite, does come with an extensive benefit package as well as an onsite gym for employees to use!
Job Type: Full-time
Pay: $70,000.00 - $79,900.00 per year
