All HVAC is a well established heating and air conditioning company with a twenty-five year history of providing gold-standard service to the commercial, industrial and institutional real estate market in Manhattan, Brooklyn. Our clients include millions of square feet of Class A office buildings, warehouses, schools, recreational facilities, hospitals, and high-end residential properties.
We are in need of a self motivated, experienced, dedicated, and extremely energetic service dispatcher/coordinator to dispatch our technicians to our job sites. You will be working directly with the Principal and other team members on dispatching and coordinating duties regarding HVAC projects.
Service Dispatchers and Coordinators are the quarterbacks for our service teams. They support our customers and building service technicians by scheduling service and repair activities, dispatching technicians and expediting the purchasing process. HVAC dispatching experience is preferred, but not required. Individuals must have experience scheduling for a dedicated team of service and maintenance technicians, but not in a call center environment.
RESPONSIBILITIES MAY INCLUDE (BUT NOT BE LIMITED TO):
- Plan, prioritize and execute activities towards achieving agreed upon goals.
- Schedule or dispatch technicians, equipment and/or service vehicles to appropriate locations, according to customer requests using phones and/or e-mail.
- Monitor personnel locations to coordinate service and schedules.
- Prepare work orders.
- Trouble-shoot problems over the phone as to help technicians prepare for work.
- Record and maintain files or records of customer requests, work or service performed, charges, or any other dispatch information.
- Prepare daily work schedules and organize and fill 3-day schedule board.
- Liaise with technicians, office staff, contractors, and other parties regarding client projects.
- Prepare status reports to accurately describe activities in the field and office and monitor progress towards program goals.
- Regularly update and utilize tools and systems
- Monitor and report on both company and market activities.
- Weekly status updates to supervisor

- Exceptionally strong project management and execution skills is a must.
- Prior experience in HVAC is beneficial but not necessary, but strong HVAC knowledge is a MUST.
- Strong English communication skills, both written and verbal.
- Strong customer service skills and understands the value of customer relationships.
- Superior computer knowledge and proficiency, especially in Excel, Word and Outlook.
- Valid driver's license with satisfactory driving record and reliable vehicle.
- Bachelor’s degree.
- Have a "do whatever it takes to get the job done" mentality.
- Must be outgoing and confident to navigate projects & comfortable in a fast-paced environment.
- Must be able to work independently and as part of a team.
