The Development Administrator role supports Construction & Development which includes Acquisition & Disposition with minor roles in Leasing and Property Management in the Cary office. This position requires a multifaceted person with Commercial Real Estate Paralegal experience. Are you self-motivated, able to work in a fast-paced environment, and proactive in anticipating deadlines and work needed to meet various departmental objections?
This role also shares responsibilities in day-to day office operations when needed, including answering the main-phone, office supplies etc.
CONSTRUCTION AND DEVELOPMENT DUTIES:
· Draft and finalize AIA contracts and exhibits, coordinating review of same with outside counsel as-needed
· Draft and finalize AIA Change Orders
· Prepare, update and maintain Budget Tracking Spreadsheet in Excel to track all invoices received for a construction project
· Code vendor invoices pursuant to accounts-payable requirements, obtain preliminary internal approval and coordinate payment of same with Corporate Accounting
· Process Pay-Applications received from General Contractor
· Review and track lien waivers received from general contractor
· Maintain communication with General Contractor and vendors regarding status of invoice payment
· Support corporate accounting with draw preparation
· Prepare Professional Services Agreement for vendors on Construction projects – drafting may involve Vendor’s negotiation of terms and conditions requiring engagement of outside counsel to negotiate final agreement
· Knowledge of Certificate of Insurance necessary to obtain COIs for all contracted construction vendors
· Track and maintain Certificates of Insurance for active construction projects
· Assist Tenant Coordinator on tenant improvement packages and facilitating payment of Tenant Improvement Allowance
· Analyze and Abstract Tenant Leases to prepare Abstract of Construction Deadlines and Landlord Notice requirements
· Draft Tenant notifications pertaining to delivery and construction as required pursuant to Lease
· Maintain construction forms data base for professional services agreement(s) for multiple states, coordinating review of same with in-house counsel or outside counsel as necessary
· Conduct Secretary of State business name searches in connection with contract preparation
ACQUISITION & DISPOSITION:
· Draft Letters of Intent
· Conduct GIS and limited title research as may be required in connection with property acquisition
· Draft Purchase and Sale Agreements and Amendments as may be required; coordinate review of same with outside counsel
· Facilitate Escrow Agent Engagement and Coordinate Earnest Money Deposits
· Abstract Purchase and Sale Agreement Deadlines upon execution of same
· Calendar Purchase and Sale Agreement Deadlines and track deadlines
· Order Title and Survey
· Review and analyze Title Commitment; Summarize title and survey matters impacting development
· Assist with resolution of title matters and communicate with outside counsel as needed to achieve optimal resolution
· Coordinate closing with outside counsel and escrow agent
· Review Closing Statement received from escrow agent to ensure accuracy
· Conduct UCC Searches with the NC Secretary of State as may be required in connection with tenant default
· Assist Financing Department with coordinating review and signature to lender required documents
PROPERTY MANAGEMENT:
· Assist Property Manager(s) with review and analysis of Lease terms pertaining to sign rights, insurance requirements, and other terms as needed
· Assist with Construction related tasks pertaining to capital or large scale improvements
· Draft tenant notice letters in connection with internal entity transfers, property acquisition or disposition
· Assist with utility matters in connection with property transition from development to property management
SKILLS:
· Ideal candidate will have Commercial Real Estate experience; certified paralegal is preferred
· Must have excellent computer and typing skills
· Have proficient knowledge of Microsoft Word, Excel
· Possess ability to learn internal systems including Adobe, MRI, Salesforce, AX, Nexus and AIA
· Be well organized and detail-oriented
· Must communicate professionally and be able to interact and communicate with individuals at all levels in the organization
· Must be able to handle sensitive and confidential situations
· Must be able to work in a fast-paced environment and multi-task
· Must be self-motivated and able to operate well independently as well as in a group setting

Pay: $75,000.00 - $80,000.00 per year
