General Description:
The Administrative & Logistics Coordinator is responsible for all office administrative tasks including greeting guests, customer service support, data entry and maintaining office supply needs, along with coordinating logistics of inbound and outbound shipments, procurement, schedules and appointments.
Essential functions and responsibilities:
Responsibilities and essential job functions include, but are not limited to, the following:
- Greet and assist visitors and vendors upon arrival.
- Assist in preparation and setup for customer presentations and meetings.
- Data entry and record management.
- Support various administrative tasks as assigned.
- Collaborate and provide support to other departments, such as Sales, Accounting and HR.
- Arrange weekly shipping schedules based on available resources and deadlines.
- Plan and schedule inbound and outbound shipments for multiple locations and provide updates through the time of shipments.
- Generate and prepare shipping documents for outbound shipments.
- Receive inbound shipments into databases as needed.
- Coordinate and distribute updates of shortages for customer orders.
- Provide support for warehouse staff such as printing labels, document preparation, researching discrepancies and solving errors.
- Assist in tracking ocean shipments and coordinating deliveries to both internal and external teams.
- Assist with project and analytical tasks as assigned.
- Other tasks and duties as assigned.
Qualifications – Required:
- High School diploma or equivalent.
- Minimum two years prior office administration experience.
- Prior experience with logistics and transportation.
- Self-starter with strong organizational and multi-tasking skills, with the ability to prioritize tasks and manage time effectively.
- Excellent communication and interpersonal skills.
- Strong analytical and problem-solving skills.
- Able to safely accomplish work within established deadlines.
- Proficiency with MS Office Suite and ERP or warehouse managements systems.
- Attention to detail and a commitment to accuracy in all aspects of work.
- Ability to handle multiple projects and assignments, prioritize and meet deadlines while achieving objectives.

Shift Hours: M-F, Days, 8:00am – 4:30pm
Overtime: Minimal, required as needed.
Travel Required: Minimal.
