Position Summary:
Since 2008, The Sophia Way supported women who have lost their homes by providing shelter, safety and stability to unhoused women and those who identify as female. This is accomplished by offering 24/7 shelter, case management, behavioral health and support services, as well as rapid rehousing, transitional and Section 8 housing.
The Development Administrator is a detail and solution-oriented person that is responsible for processing, managing, and tagging donations appropriately to enable the generation of needed reports and mailings. Reporting is provided to the accounting team for regular entry and reconciliation.
In addition, the Development Administrator dedicates time to Volunteer Administration functions including database oversight, ongoing communication, and Gift In Kind tracking
KEY RESPONSIBILITIES
The Development Administrator will support the donor database in the following areas:
Data Entry, Reporting, and Development Database Management

Enters donation data into the donor database (Raiser's Edge)

Generates donor receipts and thank you letters using Raiser's Edge, Excel, and Word mail merge

Supports Development team with reporting, analysis, and recommendations on process/procedure to maintain accuracy within the database

Contacts donors in appropriate manner to resolve donation issues

Assists with the flow of data analysis and donation information to the Development team
Volunteer Administration

Work with the Volunteer and Engagement Coordinator to transfer necessary data between volunteer database (Volunteer Local) and the donor database on a regular schedule

Communicate regularly with volunteers, meal donors and in-kind donors to engage them in the organization.

Provide appropriate tracking of volunteer, meal donor, and in kind donations.
Operations, Infrastructure, and Other Roles

Attend Development Team meetings

Cross-train with the Accounting Manager to ensure the continuity of gift entry

Working in partnership with the Data and Information Specialist, maintain HMIS access annually and understand how to pull necessary client reporting for quarterly contract submissions

Maintains thorough understanding of TSW organizational policies; follows policies and leads by example

Help ensure the smooth operation of the office and other duties as assigned

Educational Qualifications: Life experience, prior employment, education, and life-long learning will be considered in lieu of formal education. Professional certifications and/or degrees in fundraising or nonprofit management are a bonus, but not necessary.

Proficiency with Microsoft Office suite, with strong Excel skills.

Ability to analyze and resolve standard office administrative and procedural challenges. • Strong aptitude for clear and effective communication, and excellent understanding of how and when to involve other appropriate stakeholders.

Salary and Benefits
$23.66/hr to $27.87/hr (annualized $49,212 to $57,973)

Physical Requirements:
Long periods of being in a stationary position; operating a computer and other office equipment; frequently moving to/from various work areas, including TSW's locations; occasionally ascending/descending stairs; frequently communicating by phone and email; frequently remaining in a stationary position during meetings, discerning meeting content, expressing oneself, and exchanging accurate information; frequently moving to/from off-site meeting and/or event locations; occasionally moves supplies and/or equipment weighing up to 25 pounds.
Working Conditions:
Primary location in typical business office environment, with frequent meetings and event attendance at a variety of off-site locations. Work from home option possible, 1 to 2 days a week.
