Facility Contract Services is currently seeking dynamic and goal-driven employees for the City of Pembroke Pines Engineering Department. This exciting opportunity in the City of Pembroke Pines operates 4 days a week (Monday through Thursday 7:00 A.M. to 6:00 P.M.) and offers excellent compensation and benefits including health insurance and 401(k) with a Company match.
SUMMARY
A Scanning Clerk is responsible for scanning physical documents into a digital format for archiving. This entry-level position requires attention to detail and the ability to work independently. The candidate must be highly motivated, extremely organized. This position provides support to the Document Management Unit to ensure records are correctly sequenced and filed. The Scanning Clerk gathers documentation from internal achieves and organizes materials chronologically, numerically, alphabetically, and by subject.
RESPONSIBILITIES AND DUTIES
- Preparing project file folders and case documents for copying and scanning. This preparation includes removing anything holding individual sheets together, like paper clips or staples, and sorting them in the correct order.
- Responsible for checking the quality of the digital copies. Since the paper records will eventually be destroyed, scanning clerks need to be able to catch mistakes and correct them quickly.
- Assist team members with the rotation of file boxes stored within the work area and updating case file storage information using our in-house case management software.
- Other general clerical tasks as assigned by the Support Staff Supervisor.
- Processes hard-copy documents through high-speed scanners by paying attention to detail and ensuring image quality is sufficient.
- Upload scanned images into electronic files and directories using data entry and software systems.
- Verify work for accuracy.
- Ensures that work objectives are in alignment with the Record Management Unit’s quality assurance standards and guidelines.
- Uploading documents into our Collateral Management system.
- Receive, sort, review, and prioritize documents for scanning while ensuring quality and accuracy
- Log boxes for scanning and follow document preparation procedures
- Uploading documents properly into a City-wide database.
- Will be required to learn new features and functionalities of scanning and imaging software
- Assist and train less-experienced staff
- Answer phones and provide over-flow support as needed
QUALIFICATIONS AND SKILLS
- 0–1-year experience working in a scanning/imaging environment
- Skilled in document tracking, quality assurance, and document management.
- High school diploma
- Demonstrate attention to detail and a high level of accuracy
- Microsoft Office: 1 year (Preferred)
- Ability to work well and productively with minimal supervision after training
- Typing and data entry skills
- Proficient knowledge of scanning/imaging equipment. Familiar with general office equipment (copy/fax machines, printers, plotters)
- Organization skills
- Attention to details
- Ability to multi-task and highly flexible with changing circumstances
- May lift and/or move file boxes weighing up to 30 pounds
