Position Summary
The Coordinator of Procurement Services is responsible for supporting, overseeing, and managing administrative procurement activities to ensure the efficient and effective acquisition of goods and services for Dallas College. Reporting to the Senior Director of Supplier Development, this role requires an individual with strong procurement, and vendor relations skills to support the college's operations and strategic goals.
Required Knowledge, Skills, and Abilities
Procurement Expertise: Understanding of procurement principles, practices, and regulations. Ability to manage and oversee procurement processes and ensure compliance with applicable laws and policies.
Analytical Skills: Strong analytical and problem-solving skills, with the ability to evaluate complex procurement scenarios and make informed decisions.
Organizational Skills: Excellent organizational and time management skills, with the ability to manage multiple tasks and priorities in a dynamic environment.
Vendor Management: Ability to build and maintain effective relationships with vendors, ensuring the best value for the college.
Communication Skills: Exceptional communication skills, with the ability to convey procurement strategies and policies clearly and effectively to stakeholders. Strong communication skills to speak, listen and write in a clear, thorough, and timely manner using appropriate and effective communication tools and techniques, interacting with various audiences. Must be able to provide excellent customer service.
Physical Requirements
Physical Demands: This position requires frequent standing, walking, and the ability to work in various office and warehouse environments.
Travel Requirements: Occasional travel to vendor sites, conferences, and professional development events may be required.
Minimum Qualifications
Education: Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
Experience: Minimum of three years of procurement experience, with demonstrated experience in contract management and vendor relations.
Preferred Qualifications
Bilingual or Multilingual languages preferred.
Licensing: Relevant procurement certification (e.g., CPPO, CPPB) is preferred.
Additional Requirements
Subject to a criminal background check. Some positions may be subject to a fingerprint check.
Key Responsibilities
Conducts supplier verification processes in compliance with state and federal requirements.
Direct and provide guidance to potential suppliers on how to do business with Dallas College
Plan, coordinate and participate in supplier and other external entity events and workshops.
Interacts with appropriate outside entities to facilitate supplier eligibility processes or to conduct the duties associated with an assigned area of specialization.
Perform public relations duties through contacts and associations with business professionals, colleges, and the community.
Run procurement and supplier development related reports and queries.
Resolves issues and problems with purchase orders.
Oversees supplier onboarding process.
Monitors the purchase transaction through delivery, payment, and purchase order closure.
Support other office functions including record keeping, maintaining department files, spreadsheets, updating records and processing forms.
May train campus staff on purchasing policies and procedures.
Utilize technology to access data, maintain records, reconcile accounts, generate reports and communicate with others.
Participates in the development of institutional procurement policies and procedures.
Performs other duties as assigned.
Completes required Dallas College Professional Development training hours per academic year.
