If so then we want to speak with you! Our company seeks an experienced Facilities Specialist to join our corporate team.
Primary Job Responsibilities:
The Facilities Specialist will serve as the overall subject matter expert (SME) of the company’s leasing system, Prolease. This includes auditing, maintaining, and reporting on its tools and processes. This position will work closely with Legal, Finance, HR and all other departments or groups that may have real estate initiatives or issues. The Facilities Specialist will develop and utilize project plans to set project milestones, dependencies, and expectations with both internal and external teams. While the focus of this position is facilities management, there may be other related tasks and projects assigned.
- Receive and review new leases and ensuring accuracy upon upload to Prolease
- Identify any missing, duplicate, or inaccurate lease data and make the necessary updates
- Serve as a resource for real estate related inquiries for other departments
- Produce and monitor Building reports on related leases
- Maintain professional relationships with vendors and update on any issues, tasks, corrections, etc.
- Develop and sustain working relationships with agency partners
- Develop operating processes and procedures with the Prolease system to best fit our needs
- Utilize experience and flexibility to manage expectations while balancing the constraints of team availability, project timelines, and agency/landlord expectations
- Track project performance against budget cost, schedule and project scope in JIRA
- Works with cross-functional leaders to perform analysis in different areas and identify opportunities for performance, process, and/or cost improvement.
- Participate in project retrospectives to ensure gaps identified are addressed and resolved
- Managing emails and scheduling meetings to discuss project scope and status
- Oversee any Procurement-related initiatives and ensure sourcing efforts meet business goals and objectives
- Able to help back-fill and cross train across the Project Management Department, as needed
Requirements:
- 1+ years’ work experience in project management and/or real estate experience is required
- Working knowledge of real estate rules/regulations
- Ability to educate and instruct other departments on the use of policies, procedures, and other related tools
- Prior working experience with Prolease is preferred
- Ability to learn new operating systems and applications quickly, and adapt to changing requirements
- Ability to foster positive cross-functional relationships at all times
- Exceptional interpersonal and communication skills (both oral and written)
- Authorized to work in the U.S. without sponsorship

Salary Range: $50,000 - $60,000 depending on the experience.
A wide salary range is posted for this position and any job offer is based upon a salary analysis to comply with the required state pay transparency law. The salary analysis considers relevant experience, education, certifications, and seniority as compared to others doing substantially similar work. There is no guarantee an offer will be at the top of the posted range based on the salary analysis.
