Position Summary:
Works with the Accounting Department and assists with financial operations of the Club, advises, and recommends procedures affecting budgets, costs, and monthly financial preparation procedures. Administers procedures and systems pertaining to financial matters, analysis for administrative and managerial functions. Assists the Accounting Department in maintenance of accounting records, and the development, analysis, and interpretation of statistical and accounting information. Assists the Accounting team in all Accounts Payable responsibilities.
Responsibilities:

- Prepares working papers of operations, working with Accounting Department and department heads to revise and adhere to budgetary guidelines.
- Prepares balance sheet reconciliations, including but not limited to all bank account reconciliation.

Monitors bank account activity daily and prepares cash flow forecast.

Works closely with Staff and is cross trained in Accounts Receivable and Accounts Payable.

Recommends and reviews accounting, budgeting, and reporting systems to see that they are in accordance with the club’s policies and suggests revisions where improvements are needed.

Prepares various journal entries for monthly closing.

Conducts internal control tests to ensure financial and operational integrities.

Participates in and verifies the taking of various inventories in the Club such as beverages, food, fuel, spa and pro shop merchandise and supplies are performed in accordance to Club policy.

Assists in the preparation of audit papers as required for auditors.

Prepares and processes monthly sales tax payments.

Prepares miscellaneous analytical reports for CFO and other Department Heads when requested.

Available to assist Members requests at any time.

Create and assist team with completion of critical task list and manuals for respective positions.

Be available in case of disaster to secure club property before the occurrence and after to resume operations quickly and competently.

Process bi-weekly payroll for employees using payroll software
-
Ensure accurate calculation of wages, tax withholding, and deductions.

Maintain accurate records of payroll documentation and transactions.

Assist in payroll audits and inspections as necessary.

Collaborate with HR and Accounting teams to resolve payroll discrepancies and issues.

Assist with set up of fixed asset software.

In partnership with the CFO, manage all relevant HR-related audit activities to ensure full compliance, including but not limited to; 401K audit, workers compensation audit, annual RSM, etc.

Reconcile all bank statements and communicate discrepancies/reconciling items with CFO.

Creating a monthly cost of employee meals entry

In partnership with Asst. Golf Pro, complete monthly golf inventory

Update bad debt spreadsheet monthly.
Accounts Payable Responsibilities:
- Reviews invoices from department heads for payment processing – verifying general ledger coding accuracy, approval, and use tax addition. In addition, reviews received invoices that were processed by retail outlets for accuracy of discounts and due dates.
Knowledge and Skill Requirements:

Education & Work Experience Requirements:
- Bachelor’s degree in Accounting, Finance, or related field.

CPA certification or actively pursuing CPA.

Proven experience (years) in accounting or financial management, preferably in a hospitality or private club environment.

Strong knowledge of accounting principles and practices.

High level of proficiency in accounting software and MS Office, particularly Excel.

Excellent analytical and problem-solving skills.
-
Detail-oriented with strong organizational and time-management abilities.

Ability to work independently and as part of a team in a fast-paced environment.
Preferred Qualifications:

Experience with Club Management or similar ERP systems.

Familiarity with private club operations and regulations.
