Summary:
The Safety and Claims Coordinator provides comprehensive administrative support to ensure the efficient operation of the office and its various departments. This role involves performing a variety of tasks including managing communication, organizing documents, and assisting with project coordination. The Safety and Claims Coordinator acts as a key point of contact for internal and external stakeholders, ensuring smooth workflow and contributing to the overall productivity and success of the organization.
Key Responsibilities:
1. Administrative Support:
- Perform general office duties, including answering phones, managing emails, and greeting visitors.
- Prepare and distribute correspondence, memos, reports, and other documents as needed.
- Maintain office supplies inventory and order materials as required.
2. Safety Compliance:
- Assist in the preparation and maintenance of safety documentation, including safety manuals, procedures, and training materials.
- Track safety training schedules and ensure all staff are up-to-date with required certifications and training.
- Maintain safety records, incident reports, and compliance documentation.
- Support the implementation and monitoring of safety programs and initiatives.
3. Claims Processing:
- Assist with the processing of insurance claims related to accidents, injuries, and property damage.
- Collect and organize necessary documentation for claims, including photos, witness statements, and incident reports.
- Coordinate with insurance companies, adjusters, and legal representatives as required.
- Maintain claims database and track the status of ongoing claims.
4. Customer Service:
- Handle inquiries related to safety protocols and claims processes, providing accurate information and assistance.
- Schedule and confirm meetings and site visits with clients and insurance representatives.
- Maintain positive relationships with clients and address any concerns promptly.
5. Team Support:
- Assist in organizing safety training sessions, department meetings, and company events.
6. Data Management:
- Maintain and update databases, contact lists, and safety and claims management software.
- Compile and analyze data for reports and presentations.
- Ensure all documentation is accurate and up-to-date.
7. Compliance and Reporting:
- Ensure compliance with company policies, safety regulations, and industry standards.
- Assist in preparing compliance reports and documentation for audits and inspections.
- Support the development and implementation of safety policies and procedures.
Qualifications:
Education: High school diploma or equivalent; additional certification in office administration or related field is a plus.
Experience: Previous experience in an administrative role, preferably in safety, claims, construction, landscaping, or related industry.
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
Other: Knowledge of safety regulations, claims processes, and management software is advantageous.
Working Conditions:
- Primarily office-based with occasional visits to project sites. Project site visits may be either indoors or outdoors in areas that are dusty, dirty, in the rain and muddy.
- Full-time position with standard office hours; may require occasional overtime depending on project deadlines.
