The San Diego Convention Center is located on sparkling San Diego Bay in the heart of a vibrant downtown. Abundant, flexible space and five-star service make the San Diego Convention Center the meeting planner's choice for hosting major conventions, trade shows, meetings and special events. The San Diego Convention Center has 2.6 million sq. ft. to include 72 meeting/banquet rooms, eight exhibit halls, two ballrooms and a special events area - the Sails Pavilion, 138-seat capacity onsite restaurant and 36-seat bar, 8 concession stands in exhibit halls, 2 full-service kitchens, portable specialty services and 3 Starbucks lobby operations. Some of the many types of events offered at the San Diego Convention Center include the annual Comic Con and ESRI shows, full service plated dinners and buffet & reception events.
We are currently seeking a Scheduler at the San Diego Convention Center, The Rady Shell and San Diego Theatres. Responsibilities include, but are not limited to:
· Responsible for the scheduling of all staff according to the bargaining unit contract between Sodexo and Unite HERE/Local 30
· Must ensure that all staff are scheduled by seniority, and then by the “Special request form for days off.” (This form must be submitted to the Scheduler by 5:00 P.M. each Saturday.)
· Produce the schedule submitted by all Department Managers including the Director of Operations, Executive Sous Chef and Managers to ensure that all schedules are generated per the CBA contract
· Confirm that all staff have accepted or declined their shifts prior to noon on Monday
· Provide the Human Resources Manager with a complete list of all staff that failed to confirm or decline their shifts per the bargaining unit contract. This includes Kitchen, Stewarding and Front of the house Staff
· Enter all schedules from all departments into the time clock system
· Make changes on a daily basis to prior posted schedule
· Schedule all “pop ups” per the bargaining unit contract following seniority
· Produce a Daily Assignment Schedule for the Department Managers. Inform them of any staffing changes to the schedule on a daily basis
· Provide all departments concerning “call offs” for each day
· Responsible for the replacement of all “call offs” per the Union Contract
· Responsible for keeping a “time and date log” of all calls. This includes calls that are initiated by the Scheduler to increase staffing or to change or cancel shifts that were previously scheduled and confirmed
· Responsible for completing a daily “end of day” to process punches and update employee schedules to the clock
· Produce each day a “Detailed Daily Labor Report”, obtaining managers’ signatures
· Submit to the Human Resource Manager the signed “Detailed Daily Labor Reports for keying into the Front-End System on a timely basis – to include meal break sheets
· On a Monthly basis provide a detailed list of all changes in banquet and bar staff by classification and seniority to the Human Resources Manager
· Fill vacant positions within job classifications when directed to do so by the Director of Operations
· Other duties as assigned by management
Job Requirements:
· Minimum two (2) years administrative experience required and food & beverage background preferred
· Ability to work independently, exercising appropriate skills for effective judgment, creative problem solving and taking initiative
· Excellent oral and written communication skills, with ability to deliver and interpret information across various sources
· Proficiency with Microsoft Office Suite software
· Ability to work 8 hours or more a day when needed
- Weekends are required for this position
· Ability to work in fast paced environment
Other requirements:
Must be able to work in extremes of cold to heat.
Must be able to exert well-paced mobility to maneuver quickly among different areas of the facility.
