ASPIRE VETERINARY CENTER is looking to hire a full-time or part-time Client Care Representative to join our team.
Job Summary
The Client Care Representative plays a critical role in our hospital’s success. They will work alongside our Veterinarians, Veterinary Technicians, Veterinary Assistants, and the Director of Operations to provide excellent care for our clients and their pets.
The Client Care Representative is the key client-facing representative of our team and is responsible for handling front office reception and administrative duties.
Key Responsibilities
- Check clients in and out.
- Monitor client flow from check in to discharge.
- Manage a multi-line phone system and appointment scheduler.
- Answer and triage phone calls from clients.
- Schedule and confirm appointments.
- Provide clients with appointment reminders and special instructions.
- Perform client call backs.
- Place outbound calls for follow-ups.
- Email and manage online communications.
- Process and balance payment transactions (credit card charges, cash receipts).
- Generate and explain client treatment plans and estimates.
- Answer client inquiries regarding our products and services.
- Educate clients on over-the-counter products and medications.
- Assist in maintaining the cleanliness of client areas (waiting area, front desk).
- Manage record requests between other hospitals and specialty practices.
- Data entry into practice management software.
- Manage electronic medical records, charts, reports, and correspondence.
- File, fax, and/or make copies of documents.
- Assist in stocking and maintenance of the hospital.
- Fill prescriptions (handling and counting medications in a pharmacy setting).
- Call in prescriptions to pharmacies.

- One year of client care-related experience.
- Bilingual (English/Spanish or English/Korean) is a plus.
- Familiarity with veterinary practice management software (i.e. Vetter) is a plus.
Minimum Qualifications/Requirements
- High school diploma, GED or equivalent combination of education and experience.
- Knowledge of clerical procedures (i.e., data entry, payment processing).
- Tasks may involve extended periods of time at a keyboard or workstation and/or extended periods of time standing and/or walking.

- Salary: $17 to $20 per hour. Wages based on experience.
