POSITION SUMMARY: The individual provides and performs confidential administration and coordination of DSOP employee policies, procedures, payroll, and human resources. Works closely with employees, department supervisors, Mission Group Coordinator and congregational HR Director and congregational Payroll Manager.
Maintains a positive work atmosphere by acting and communicating in a manner of cooperation with Sisters, co-workers, guests, vendors and management. Must be a self starter and have the ability to maintain confidentiality.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
· Major Activity: Responsible for inputting, maintaining and processing employee hours for biweekly payroll such as paid time off, float holidays, on call hours, insurance premiums, retirement and flexible spending contributions, retro pay and other adjustments when needed. Assure strict confidentiality of employee information. Maintain records and reports i.e., PTO/Float Holidays.
· Major Activity: Maintains general and employee filing system. Process and maintain files, correspondence, memos, reports and personnel documents in a highly confidential manner. Maintain personnel policies, employee job descriptions, insurance/retirement booklets, and employee handbook.
· Review insurance plans with employees. Enroll/terminate employees in employee insurances benefits and retirement plan when applicable. Assist employees with medical, payroll and insurance questions and issues. Secure signatures timely. File claims for short and long term disability. Notify congregational HR Director and finance office of benefits and retirement enrollments, changes and terminations, etc. Arrange and conduct annual benefits open enrollment meetings.
· Conduct reference inquiries, employment history and background checks of applicants. Meet with supervisors to determine eligibility criteria for hiring staff. Orient and assist new employees with employment documents and give tour of the facilities.
· Listen to employee concerns, give recommendations, or offer solutions. Conduct exit interview with resigning/retiring employees. Close personnel file, assist, and inform employees of termination dates of insurance benefits, retirement plan, and paying out paid time off.
· Assist and file employee workers compensation claims. Follow up with employee, medical providers and workers compensation carrier. Prepare and maintain accident ledgers, gather information related to and post annual OSHA forms 300 and 300A.
· Prepare and distribute notices and information to employees i.e., open enrollment, meetings, special events, personnel related bulletins, car sales, birthday, sympathy, and get well cards to employees, etc.
· Provide supervisors with employee 90 day and/or annual evaluations.
· Meet with and assist employees going on Family Medical Leave Act leave. Track leave and report to DSOP Director.
· Confer with congregational HR Director on employee and human resources issues. Discipline and discharge employees with assistance and input of supervisors.
· Major Activity: Assist Sisters and departments when needed. Serve as an information person to Sisters, Administration and others by taking phone calls and messages and providing knowledgeable responses.
· Be active participant in congregational HR department and local HR discussion groups.
· Be active participant in Risk Management Committee. Coordinate and implement safety procedures for fire, storm, or other disaster events.
· Keep Mission Group Coordinator advised of activity and developments of interest that occur within the Motherhouse.
Collaborate with Mission Group Coordinator regarding employee activities/events.
· Participate in educational programs and in-service meetings. Attend required meetings.
· Other duties may be assigned.
REQUIRED MINIMUM QUALIFICATIONS
Education: High school graduate with proficiency in office administration. Prefer Associate Degree in business field.
Experience: Two-three years of experience in an office setting and three years of experience in a responsible Human Resources position.
Requirements: Proficient in MS Word, Excel, computerized payroll system, internet and email.
Knowledge & Skills: Good knowledge of general office procedures and protocol, good interpersonal communication and decision-making abilities, excellent proof-reading skills, courteous telephone manners. Skills to operate computer, printer, copier, fax, calculator, telephone and other office equipment. Be comfortable with computer, internet and e-mail. Active listening skills. Good math skills.
Ability: Communicate effectively orally and in written form with employees, Sisters and public, compose reports and correspondence, edit documents with grammatical accuracy; maintain professional and pleasant demeanor, maintain high confidentiality, prioritize assigned tasks and follow directions. Must organize, plan and prioritize work, work independently, steadily and productively without constant close supervision, managing one’s time. Must be able to adapt to frequent interruptions and situations. Ability to remain calm, provide stability within the organization, handle frequent interruptions without frustration, assist and train staff. Provide oversight to several tasks at any one time. Must have desire to work with older people.
