The Aviary Restaurant is a casual fine dining restaurant with 130+ seats located in Swansea, MA. Our property has expanded to include The Aviary Gatherings housing two intimate event spaces with a combined total of 125 seats.
We’re seeking an experienced and professional Event Manager. In this position you will meet with prospective clients, create proposals, provide tours of our property and help clients create their dream event from planning through implementation while meeting personal and company revenue goals. The ideal candidate will also seek out potential new business and oversee company sponsored events.
Event Manager Responsibilities Include:
- Ensuring all inquiries and client communications are responded to in an enthusiastic and timely manner
- Scheduling and conducting site tours with prospective clients
- Preparing effective proposals, maintaining well organized files and contracts
- Maintaining a working knowledge of our menus and offerings
- Preparing contracts in an accurate and timely manner
- Adhering to specific deadlines for client payment schedules/final guarantees, based on guidelines of contract.
- Preparing Banquet Event Orders (BEO's) containing pertinent event information to submit to internal staff and the Chef.
- Creating event timeline and liaising between clients and internal staff to ensure all logistics are executed appropriately
- Oversee that events are executed successfully
- Ability to anticipate event and client needs, recognize work priorities and meet deadlines with little supervision
- Developing relationships with key influencers (planners, community leaders, etc.)
- Enhancing and developing existing menus in collaboration with our Executive Chef
- Identifying areas of opportunity to improve internal logistics and customer experience
- Performing other relevant duties as required
- Training and coaching event staff

In order to meet the needs of our clients, working hours vary and can include evenings, weekends, holidays and extended hours as business requires. To be successful in this position, the Event Manager will be able to:
- Demonstrate excellent written and strong communication skills to understand and identify customer needs
- Effective supervisory skills
- Knowledge of food service industry and up-to-date on current food and beverage trends
- Comfort and familiarity of all food products offered by our Executive Chef
- Learn and maintain in depth knowledge of our services and offerings
- Manage time effectively and adapt quickly to changing priorities
- Present a professional image at all times with clients
- Excellent negotiation skills and ability to secure events and contracts
- Deliver excellent customer service
- Creative thinker, able to manage multiple projects simultaneously
- Ability to communicate all details of events with event staff and Executive Chef
Qualifications:
- 2 or more years of event experience in a leadership role
- Ability to pay exceptional attention to detail
- Superior organizational skills, presentation/public speaking skills
- Proficient in MS Office
- Bachelor's degree or equivalent experience
