Job Description Summary: The Project Administrator is responsible for conducting project administrative and management functions, reporting to the designated team Project Manager and/or Salesperson. The ideal candidate for this position would benefit from having previous administrative job experience in construction, architecture, or hospitality industries. The primary objective is to achieve exceptional job quality and customer satisfaction. Full-time position offering competitive wages and health benefits.
Responsibilities Include:
· For each project, work effectively with the Contract Team
· Maintain standing quotations for established accounts
· Provide responsive, concise, and professional support to all customers and other personnel, ensuring timely follow-up on all customer concerns
· Create project contract documents (ie – Schedule A/Contract/Change Orders)
· Verify all contract-related purchase order items for correctness
· Maintain and update tracking reports for respective projects
· Create Sales Orders/Purchase Orders/and Final Invoicing for projects.
· Other responsibilities to be included
Minimum Qualifications (knowledge, skills, & abilities):
· High School Diploma or GED required; Associates or Bachelor’s Degree preferred
· Customer-service oriented, friendly attitude with good oral and written communication skills
· Previous project administrative experience preferred
· Strong work ethic; willingness to do whatever it takes to get the job done
· Experience with procurement processes and subcontractor contracting
· Good computer skills needed, including Microsoft Office
· Working knowledge of Auto Quotes, Pro Core Construction Software, and understanding of AIA processes would be a plus
· Ability to multitask is necessary
· Ability to utilize time efficiently to meet multiple deadlines
· Ability to work in an independent, yet collaborative environment
· Ideal candidates will be flexible and proactive; eager to learn and seek continuous improvement in the company, themselves and others
· Applicant must reside in Nashville or surrounding area
