How you will make a difference in this role:
As the Records Management Coordinator, you will act as the resource for technical and procedural records inquiries and information relating to real estate records and the State’s records management program. Duties include analyzing records management systems, security, and access controls within our organization. You will identify areas for improvement and recommend policy changes, exercising independent judgment and making decisions with minimal guidance. Collaboration is key as you work with diverse teams, building consensus to achieve mutual goals. Your clear and concise communication, both oral and written, will be crucial in this role. You should excel in planning, organizing, and prioritizing tasks independently while effectively leading presentations and meetings. Establishing and maintaining harmonious working relationships with colleagues, customers, and stakeholders will also be essential to success in this position.
This position reports to the Policy Manager. The position has a hybrid work schedule with varying days in-office, work from home, and in the field. This position has a monthly starting salary of $3,958 – $4,958 (determined by experience). Examples of Duties and Responsibilities :
- Plan and coordinate the development and implementation of a uniform records management system, including document retrieval and archival.
- Assist in designing, analyzing, specifying, developing, and disposing of records.
- Implement and coordinate a vital records recovery plan for essential records protection and retrieval.
- Support risk management processes, procedures, and data security requirements.
- Evaluate and enhance records management processes to ensure compliance and efficiency.
- Respond to records management inquiries and provide policy and procedural guidance.
- Process Public Records Requests and prepare responses for distribution.
- Develop and deliver training on records management programs and procedures.
- Collect and prepare clear reports on records management data as needed.
- Collaborate with division leaders on records analysis, classification, and retention schedules.
Requirements:
- Bachelor’s degree from a four-year college or university with a major in Business Management, Public or Business Administration, or a closely related field.
- Four years of relevant experience may be substituted for the degree requirement.
Preferred by not required:
- Specialized training in records management is preferred.
- Four years of increasingly responsible professional-level experience in business operations or public administration is desired.
