Position Summary
Coordinates the process of submitting Education Management Information System (EMIS) data and produces other requested student data to the Educational Services Center (ESC) of Northeast Ohio, various school districts and internally as needed.
Assists in the administration of records/data within the Student Information System (SIS) and other systems as needed, including completing moves, adds and changes to student/client records.
Works collaboratively and trains administrative staff across five day treatment centers/therapeutic schools to ensure consistency and quality of data including HB410 and attendance.
Interfaces with multiple external sources to fulfill records requests.
Primary Responsibilities

Reviews, interprets, and adheres to the data requirements outlined in the Ohio Department of Education (ODE) EMIS Manual. Monitors and responds proactively to changes.

Responds to and/or coordinates requests for EMIS student/client data from districts, community agencies and internal departments.

Attends statewide and local EMIS meetings and other forums where knowledge can be obtained/shared. Keeps abreast of changes in rules/regulations that impact the SIS.

Collaboratively creates a calendar for EMIS reporting with the Records Administrator and strictly adheres to the timeframes established.

Ensures consistency and quality of EMIS and other student data reports/exports as needed for the ESC, school districts and internal departments.

Reviews and monitors student attendance and HB410 records to ensure accuracy by providing weekly reports/feedback to administrative staff.

Trains administrative staff on proper SIS procedures and provides support, including HB410, attendance, and uploading and maintaining student/client data.

Fulfills external records requests across multiple platforms, including educational and clinical records.

Conducts additional records duties as directed and provides back-up to the Records Administrator on various records processes.
Qualifications
-
HS Diploma. Bachelor’s Degree preferred.

Three to five years’ experience manipulating data, performing data validation, generating reports or other administrative tasks related to data management.

Experience with PowerSchool or comparable SIS preferred.

Knowledge of and experience with EMIS rules, regulations, and deadlines preferred. EMIS certification (e.g., CEP, MCEP) preferred. PEP will help obtain certification/training for interested hires.

General understanding of FERPA and HIPAA.

Strong communication, organizational, analytical, and problem-solving skills. Detail-oriented.

Experienced and skilled in MS Office, particularly data query/analysis functions in Excel.

Ability to multi-task, plan timelines, and coordinate with various departments.

General understanding of, and willingness to work with, a wide variety of data including demographic, medical, academic, court and social service preferred.

Physical Requirements

Ability to use a computer and keyboard (eye-hand coordination and repetitive movements related to keyboarding) and possibly sit for several hours.

Ability to balance, bend, climb, crouch, kneel, reach, push, stoop, stand and sit.

Ability to lift and carry a minimum of 20 lbs.

Work Environment

Ordinarily works at home or other remote location and occasionally in office conditions.
