Description:
It is the responsibility of the Body Shop Receptionist to provide professional, courteous, and effective customer service. This individual answers and routes calls, greets customers and assists the management team as needed.
The Body Shop Receptionist is supervised by the Body Shop Director.
Essential Functions and Duties
- Answer all incoming phone calls according to company policies and in a friendly, prompt and professional manner.
- Transfer phone calls to appropriate parties promptly and accurately.
- Take phone messages when needed and ensure they are received by the appropriate person.
- Schedule appointments as needed.
- Greet and assist all customers in a prompt, friendly and professional manner and get a signed copy of a Power of Attorney for every customer and put it into the CCC system by RO#.
- Perform various clerical tasks as assigned by body shop management.
- Follow up with Insurance companies for Supplement payments and initial inspections.
- Checking on all final payments and updating notes in the CCC system and Dealer Ops.
- Upload all payments in the Receipts tab with in CCC. Receipts tab should reflect what has been posted to accounting.
- Constructively communicate with other dealership personnel as required to satisfy customer needs.
- Report to management any situation or condition that jeopardizes the safety, welfare, or integrity of the dealership, its personnel, or customers.
- Maintain personal grooming, hygiene, and uniform standards according to departmental policies.
- Arrive at work, take breaks, and depart work at the times designated by management.
- Attend meetings and training courses as scheduled.
- Ensure that work areas and customer waiting areas are kept clean.
- Other duties as assigned.

MINIMUM Hiring Requirements
- High school graduate or equivalent.
- 18 years or older
- Possess an acceptable driving record and valid driver’s license in state of residence.
