Administrative Assistant, Mt Juliet
Local company looking to hire a full time assistant for busy office. Will work directly with Office Supervisor to manage the office, support staff and handle duties for upper management. We are looking for an individual who is efficient and comfortable being a member of a team. We have 3 associates in the office currently. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, reliable, an effective problem solver, and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.

Key responsibilities include:
- Mail, Fax, or Email invoices weekly to our builders according to their policy and procedure. Maintain open line of communication with all field supervisors to ensure required POs are submitted in a timely manner.
- Compile and Review builder schedules daily for any changes or updates. Ensure management is aware of any schedule changes.
- Gather, Sort, & Organize required documentation each week for Subcontractor payroll. This includes job sheets from field staff, purchase orders from builders, material counts from suppliers, & subcontractor invoices.
- Process Weekly Subcontractor Payables. Proficiency in Excel required.
- Print builder plans for all new job starts so field staff can distribute to subcontractor crews.
- Prepare 200-250 invoices each week from subcontractor payroll accurately and efficiently.
- Various research projects as requested by upper management.
- Provide support to field staff as needed.
- Reception – answer phones, greet visitors, and route appropriately.
Successful candidates will have:
- Excellent Communication Skills
- Must be detail oriented and highly organized
- Strong Accounting Background with minimum 2 years experience.
- Advanced Skill Level for Microsoft Office programs, specifically Excel
- Positive and Friendly personality
- Proven ability to work collaboratively with a team
- Ability to multi-task, use sound judgment and critical thinking
- Exemplary Attendance
- Minimum 1-2 years Quickbooks desktop experience
- Construction Background preferred
