Therapy Patient Check In and Scheduling Representative
Are you a person who can effectively manage a fluid on-time patient schedule, patient flow and detailed paperwork? Can you effectively handle patient late arrivals, no-shows and other objections to get desired results? Do you have a knack for building relationships and trust with a variety of people and personalities? Are you comfortable working on a spreadsheet managing patient visits and payment details throughout the day?
If so, you’re in the right place. We’re looking for a Therapy Patient Check-In and Scheduling Representative to join our Team. As with many medical practices, our office can be fast paced, so the ability to comfortably prioritize tasks and manage your time while still being able to have fun is important. You will be working on a computer and on the phone, but you will also be up and moving around frequently throughout the day. This is not an entry level position. Hours: Mon thru Friday 7:40 pm - 5:00 pm. We are a Drug-Free Workplace’.
THIS POSITION IS FOR A PERSON WHO
- Possesses good oral and written communication skills and be able to communicate professionally and positively with members, employers, patients and other members of our team
- Has EXCELLENT customer service skills, and we don't use that term lightly. Being a small business, customer satisfaction is imperative to keeping the doors open. Luckily, we have the best customers, so for the most part, this is easy
- Is VERY comfortable working on a computer
- Has good basic math skills for collecting payments
- Handles interruptions but be self-disciplined to get back on task after an interruption has occurred.
- Knows how to make things happen
- Is accountable and resourceful
- Is VERY reliable as unplanned absences are hard on the rest of our Team

WHY THIS JOB IS IMPORTANT
Customer Service– The Therapy Check In helps create a culture of exceptional customer service by continually exceeding our patients’ expectations. This is achieved by properly maintaining and cultivating positive relationships with patients, therapists, referring offices, and fellow employees. He/she also addresses or escalates complaints to his/her manager in a timely manner to bring about a positive resolution.
Schedule Management– The Therapy Check In schedules new evaluations and assists the Patient Care Coordinator in managing daily schedules of the clinic. This includes, but is not limited to, ensuring that patients are scheduled properly, and therapists are blocked off correctly, managing sudden available spots and lack of open appointments. Front Office staff help maintain a positive arrival rate by using effective systems to remind patients of appointments and explaining and enforcing late, cancel, no show policies.
Greeting Patients– The Therapy Check In is responsible for being the first friendly face or voice that our patients meet. He/she is pleasant and personable with all clinic staff and patients.
Collecting Payments– The Therapy Check In is responsible for following all money handling procedures, collecting co-pays and co-insurances from patients.
