Job Overview
We are seeking a full-time professional and friendly Receptionist to join our team at Justus Rental Properties. As the first point of contact for our organization, you will play a critical role in creating a welcoming and positive environment for all visitors and callers. Your responsibilities will include managing the front desk, managing administrative tasks, and providing exceptional customer service to ensure smooth operations within the office.

Essential Functions:
- Open front lobby area each morning and maintain the lobby for cleanliness and organization
- Welcome and greet on-site visitors, determine nature of visit and direct them to appropriate staff/location
- Answer incoming calls, determine purpose of calls, and forward calls and voicemail to appropriate personnel or department
- Take and retrieve messages for various personnel
- Provide callers with information such as company address, directions to our location, fax numbers, website, and other related information.
- Receive, sorts and forwards incoming mail and incoming faxes
- Prepare outgoing mail and deliver to post office when necessary
- Maintain the Corporate Associate phone directory
- Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
- Maintains and order and distribute office, janitorial and breakroom supplies
- Maintain and update the subcontractor’s certificates of liability, W-9s, vendors packets and binders.
- Review the property’s cameras and complete the daily report. Update DVR list.
- Enter new residents’ surveys regarding move in experiences
- Maintain the conference room to ensure is clean, stocked and organized
- Maintain the kitchen/breakroom area to ensure coffee bar and snacks are stocked and refreshed during the day and area is clean and organized
- Maintain office equipment including copier and call for service when required
- Assist with other related clerical duties or other assignments/ projects as needed
Qualifications and Requirements
- Minimum of two (2) years’ experience in an administrative assistant, receptionist, or customer service role
- High School diploma/general education degree (GED)
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment
- Excellent interpersonal skills
- Solid written and verbal communication skills
- Excellent organization skills
- Multitasking and time-management skills, with ability to prioritize tasks
- Customer service attitude
- Attention to detail
