Oceanside Therapy Group is currently seeking to hire a motivated Administrative assistant (Scheduler) to join the team on a full-time basis. Employees receive competitive benefits, and a great working environment.
Position Summary: Perform administrative duties including greeting and supplying information to families, visitors and therapists. Scheduling appointments, organizing and maintaining paper and electronic files, billing patients, and organizing and recording medical reports and correspondence.
Job description:

Welcome patients and visitors to the medical office by greeting patients and visitors in person and on the telephone and answering inquiries or referring questions to other staff members

Coordinate the schedule of 20+ therapists

Schedule appointments for the therapists to optimize patient satisfaction and clinician time

Interact and communicate with therapists to ensure accuracy and consistency of case load

Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs

Answer telephones and provide information to callers, take messages, or transfer calls to appropriate individuals

Assists patients with insurance papers and billing questions

Follow up with patients by phone and email

Accepts payments to be relayed to billing and maintains petty cash fund

Sorts and routes all incoming mail. Opens office mail. Prepares outgoing mail to post office clerk at end of day.

Maintains confidentiality in all matters relating to patients and employees

Maintaining strictest confidentiality; adhering to all HIPAA guidelines and regulations

Participates in Admin meetings as required

Performed other duties as assigned.

Proficient in Microsoft Office, specifically Excel and Word.
