Key Responsibilities:
- Calendar Management: Organize and manage the CEO’s schedule, including meetings, events, and appointments.
- Travel Coordination: Oversee travel planning by working with outsourced travel companies to book flights, accommodations, and transportation.
- Communication and Correspondence: Collaborate with the CEO and President to manage emails and prioritize requests.
- Document Management: Maintain and digitize an organized filing system.
- Financial Support: Assist with receipt tracking, expense reporting, and invoice processing.
- Event Planning: Coordinate logistics for events, including reservations, catering, and guest management.
- Office Management: Handle day-to-day office activities, such as mail, phones, supplies, and vendor management.
- Research and Analysis: Conduct research and prepare reports on various topics.
- Household Management: Work with household staff to ensure the CEO’s residences are maintained.
- Personal Support: Provide personal assistance and complete miscellaneous tasks for the CEO.
- Availability: Be ready to address requests after regular work hours.
- Confidentiality: Maintain the strictest confidentiality at all times.
Qualifications:
- Proven experience as an executive or personal assistant to a CEO or high-level executive.
- Bachelor’s degree preferred.
- High reliability, adaptability, resourcefulness, and discretion.
- Exceptional organizational and time management skills.
- Ability to anticipate needs and proactively address them.
- Internally motivated and willing to take on new responsibilities.
- High level of autonomy and initiative.
- Advanced project management skills with a track record of successful project execution.
- Excellent verbal and written communication skills with attention to detail.
- Exceptional interpersonal skills and the ability to build and maintain trusting relationships.
- Ability to handle confidential and sensitive information discreetly.
- Proficiency in MS Office Suite and willingness to learn other office management tools/software.
