This position will be responsible for assisting with all aspects of day-to-day management and administrative duties for multiple office properties located in the north Scottsdale market.
** Must have current drivers license as driving is required for this position **
** Prior real estate , commercial property management or residential property management is required **
** Real Estate license is preferred**
ESSENTIAL FUNCTIONS
- Input invoices in Yardi PayScan and code for PM approval
- Prepare tenant billbacks
- Locksmith coordination (rekeying, lockouts) and Access Card issuance and management
- Tenant Relations – new tenant gifts, assisting with tenant events
- Prepare Welcome Packets for new tenants
- Update Leasing Tracker
- Tenant support for set up in Angus
- Upkeep of all parking assignments, changes in parking, creating maps, etc.
- Conference Room bookings and coordination
- Assist PM in collecting, tracking and updating all Tenant insurance certificates
- Update Vendor Tracker in Teams
- Maintain/update information on building directories
- Review AR and report to Manager; update Rent Tracker in Teams
- Pull utility invoices and update Utility Tracker
- Review General Ledger as directed by Manager
- Prepare Service Contracts and Work Authorizations as requested by PM
- Various tenant calls as instructed by PM
- Prepare Tenant correspondence as requested
- Direct service/maintenance calls to proper vendors and maintenance personnel; track calls; record to permanent files; follow through with Tenant. Functions under direction of PM
- Manage Angus work orders and disburse to engineering
- Manage engineering workflow
- Direct vendor services as needed
- Building Signage – Coordinate Interior & Exterior signage (Building & Monument). New tenant signage, remove old vinyl, remove exterior signage & coordinate patch and paint.
- Property Inspections
- Site visits to meet vendors or tenants (ie Tenant Touch)
- Property security reports – obtain, review, report as needed and file
- Manage conference/amenity space reservations
- Assist in bidding process
- Assist in budgeting process
- Handle incoming and outgoing mail
KNOWLEDGE AND SKILL REQUIREMENTS:

- Proficient in Word and Excel
- Minimum one year of property management experience

Pay: $32.00 - $34.00 per hour
