ORGANIZATIONAL SUMMARY:

POSITION SUMMARY:
The YYC Administrative Specialist position is responsible for performing the diverse administrative tasks that support YYC clinical services, grant and contract requirements, and daily operational tasks. As an off-site clinic with multiple functions and funding sources, a dedicated Administrative Specialist is necessary to ensure smooth clinic operations.
RESPONSIBILITIES:
Front Desk Responsibilities:
Answer phone calls and contacts patients prior to appointments for insurance issues and updates
Schedule clinic appointments and check in all patients
Verify that information in completed patient paperwork matches that listed in EPIC
Assemble required patient intake packets for day and maintain adequate copies of front desk paperwork
Scan required paperwork into patient charts in EPIC and handle other patient paperwork as needed
Work with Executive Director to keep online budget files updated
Collect/organize documents (bills, receipts, etc.) and store appropriately
Enter data into YYC Master Database
Track and reconcile P card Expenses
Assist with tracking, reconciliation of expenses for grants centered at YYC.
Help with verification of eligibility for services, and request authorization for referrals as required
Collect cash payments for patient appointments and maintain log of payments
Process non-cash payments
Coordinate with RCO at other USF sites to ensure payment processes followed.
Open and close clinic and ensure neatness and cleanliness of reception desk, main waiting room and central corridor
Interact with rental agency, cleaning crew, USFPG facilities
Identify facility issues and capital equipment needs
Maintain list of staff using arranged clinic parking.
Serve as resource for patients regarding ongoing clinic risk reduction initiatives and research studies
Work with Clinic Tester, Nurse Manager, Adolescent Health Resource Coordinator to identify additional clinic services/referrals appropriate for individual patients
Work with Executive Director and staff to coordinate youth-focused educational opportunities in clinic spaces.
POSITION REQUIREMENTS:
MINIMUM:
This position requires a high school diploma or equivalent with at least four years of work experience in an office or administrative support position. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
PREFERRED:
Experience working with budgeting to include expenditure transfers and reconciliation. Experience maintaining accurate internal accounting records. Experience working with research contracts. Purchasing experience. Experience coordinating travel.
