GENERAL STATEMENT OF DUTIES:
The Receptionist provides general office support with a variety of clerical duties. The Receptionist is responsible for greeting incoming visitors, directing incoming calls, mail distribution, and other duties as assigned.
RESPONSIBILITIES:

Promptly answers multi-line telephones, route calls, takes messages and/or transfers to voice mail, and responds to or refer inquiries.

Performs receptionist duties, such as greeting and directing all visitors.

Coordinates appointments and meetings for Central Office, while managing and maintaining the Central Office staff’s calendar(s) and schedule.

Prepares, types, copies and maintains information in finished form such as correspondence, memos, reports, forms, etc., while utilizing computer software, such as word processing, spreadsheets and databases.

Inputs, retrieves, and exports data, while utilizing a computer to access various software programs and systems.

Maintains a high level of professionalism and confidentiality as it relates to clients, visitors, and sensitive documents.

Maintains detailed filing and record keeping systems.

Maintains an orderly appearance of the front reception area.

Maintains professional dress and demeanor.

Collects and assembles materials for distribution, such as mail and staff communications.

Provides back-up assistance for other clerical positions and performs routine office support duties as needed.

Contributes to team efforts by performing other responsibilities and duties as required or assigned.
QUALIFICATIONS:

Associate Degree in Business or related field and/or three (3) years’ experience in an Administrative position or its equivalent.

Ability to type 35 wpm

Ability to operate a variety of office equipment

Ability to interact with the public tactfully and courteously

Ability to multi-task and remain professional

Ability to use switchboard/multi-line phone system
-
Prefer some knowledge of Affordable housing programs
