Records Specialist

We are seeking a dedicated Records Specialist to join our team. The ideal candidate will be responsible for providing support and assistance to clients in the Records department, ensuring their needs are met effectively and efficiently.
MAJOR RESPONSIBILITIES:-
Audit new case files to ensure valid HIPAA-compliant forms and documents are on file.

Initiate correspondence with medical providers to request medical records and bills using various methods, and 3rd party portals.

Track and follow up on medical and billing record requests using various tracking statuses and automation in Filevine.

Create and utilize the Records Thread, via Filevine, to communicate the status of the records to Case Managers, leadership, and other departments.

Maintain up-to-date and accurate documentation in Filevine, with received records, correct provider names, and treatment dates, also ensuring accurate file organization and naming.

Obtain all necessary medical and billing records for each client's case, auditing all received medical and billing records for accuracy, completeness, and adherence to relevant standards and regulations.

Cross-reference referrals and providers to ensure accurate documentation of treatment history.

Maintain a high level of attention to detail while reviewing and organizing records and bills.

Address any discrepancies or gaps in requested records, collaborating with providers and case managers to obtain necessary information.

Coordinate the ordering of diagnostic films for specific injuries, ensuring accurate and timely acquisition.

Audit billing records and verify outstanding balances for client treatment with their providers.

Audit billing records to verify if clients used health insurance; if so, ensure LORs were sent out by tasking the CM, via Filevine’s activity feed.

Cross-reference billing information with received medical records to ensure accuracy and complete sets.

Update Filevine with relevant billing information, including balances, payments, and adjustments.

Work closely with Case Management and Demand department to ensure case communication is transparent and cohesive, providing a productive and efficient work environment.

Complete other relevant tasks and responsibilities that may be assigned as needed.
REQUIREMENTS:-
Prior law firm experience preferred.

Prior working experience managing medical records in a legal department.

Proficient in use of computers, internet, social media, and relevant software applications, including Microsoft Office.

Excellent verbal and written communication skills.

Must have experience in a busy professional setting.

Must be well organized and adept in planning and multi-tasking

Attention to detail and highly organized (i.e., able to prioritize and complete work by deadlines)

Must be able to take initiative on items.
