- An Upper Bucks County law firm has an immediate opening for a full-time Bookkeeper/Administrative Assistant, preferably with experience in a law firm, but willing to consider similar fields.
Responsibilities:
- Manage the day-to-day financial operations of a small law firm (accounts payable, accounts receivable, corporate billing, escrow accounts and banking)
- All data entry and maintenance of the company's financial software program (QuickBooks Online)
- Prepare monthly client invoices using Clio software
- Accounts payable reporting including vendor payment and reconciliations
- Journal entry posting and account reconciliations
- Financial analysis on a monthly basis and when called upon for special projects
- Client interaction, including in-person, phone and email
- Provide backup to administrative functions as required: answering telephones, appointment scheduling, witnessing documents
- Assist managing attorney with posting/distributing settlement funds
- New client intakes, Open and close files in Clio software
- New employee onboarding
- Manage and purchase office equipment and supplies
- Handle payroll, employee time-off requests and calendar, and 401(k) plan management
- Scheduling office cleaning, shredding, and other various maintenance services
- Pick-up/Drop-off mail and packages from post office or other carrier
Qualifications:
- 2-3 years of qualified bookkeeping or accounting experience
- Strong computer skills and proficiency in QuickBooks Online
- Knowledge of maintaining escrow accounts
- Ability to work independently and in a team environment
- Strong client and vendor service skills
- Ability to communicate with clients, co-workers, and others professionally, effectively, and efficiently
- Possess excellent organization skills
- Ability to handle multiple projects and prioritize workload
- Familiarity with Clio or other case management software preferred
- Current Pennsylvania Notary Public is a plus
- Legal Exchange experience a plus
