Overview:
We are seeking a skilled Office Manager to join our team. The ideal candidate will be organized, possess strong clerical skills, and have experience in office management. This position offers the opportunity to oversee various administrative tasks and contribute to the smooth operation of our office.
Accounting:
-Must be QuickBooks proficient. All accounting is completed using QuickBooks.
-Creating all invoices including using Textura, AIA forms, QuickBooks, and specialty forms
-Progress billings based on info provided by the sales team
-Following up with the sales team for monthly progress and final billings
-Tracking AR including follow-up emails and calls as necessary
-Creating accurate AP reports for weekly check runs (paying subs, vendors, and bills)
-Confirming conditional and unconditional payment releases
-Executing/signing/ notarizing releases
-Receiving checks in QB and making weekly deposits at the bank
-Reconciling credit card statements monthly
Office:
-Calling in and tracking underground locates (811)*
-Contributing to the positive atmosphere and culture of the company
-Answering incoming calls, taking messages, and / or transferring to VM
-Filing paid bills, invoices, and completed jobs
-Contributing ideas and methods that can better the company
-Run errands including office supplies, deposits, etc.
-Multi-task to help keep the sales team focused on selling
-Multi-task with the ability to gladly jump from task on hand to more important issue as they arise
-Work with an all-male office
-Help to hold the sales team accountable for turning in weekly / progress billings
-Communicating with GL, WC, Auto insurance company and creating COI’s as needed
-Communicating with health insurance companies on billing concerns, new employee start-up
-Keeping subcontractor’s insurance certs up to date
-Be on point when info is requested by the team
