The Fleet/Leasing Clerk's main role is to accomplish a variety of tasks for both the Rental and Leasing departments with regards to record keeping, fleets sales and addition, accounting entries and reconciliation, and customer service. They are to assist the Fleet Manager and Controller with various tasks upon request while working cooperatively with all employees and departments.
Duties & Responsibilities
Oversee and update the leasing department workbook to keep is current at all times:
- Add new leases
- Transfer termed leases
- Maintain inventory of vehicles for sale
- Updated termed leases with sale or re-lease data
- Obtain and update renewed insurance, registration, mileage, lienholder changes, title status
- Create new workbook for each month
Answer incoming calls and emails to the leasing department:
- Maintain a high level of customer service when addressing existing or potential clients
- Answer common questions or concerns
- Vetting of potential customers
- Be able to communicate information to existing clients about their current leases
- Provide account application to potential new customers who pass vetting process
- Take notes and details for any inquiries/issues that need to be addressed by Fleet Manager and forward to his/her attention based on severity
Complete and maintain fleet and leasing documents:
- Prepare lease agreements, buyer's orders, and termed lease worksheets
- Create invoices in QuickBooks for sold vehicles
- Prepare title work for all sold vehicles and used vehicle purchases
- Sent out notification/inquire documents to customers whose leases are terming in next 90 days
- Submit change of registration renewal receipt information for current and future lessees
- Create vehicle sleeves for new rental vehicles
- Created leasing file for new leases
- Maintain all paperwork and documents in an organized manager within each lease and fleet folder
Perform fleet and leasing entries in QuickBooks and Bluebird
- Create journal entries in QuickBooks for sold vehicles, termed leases transferring in to inventory and leasing inventory being sold
- Post sold vehicles in Bluebird
- Maintain sold vehicle folders in an organized manner until all documents and processes are complete
Perform and maintain billing, accounts receivable, and accounts payable for the leasing department
- Create and send monthly lease invoices on the 15th of every month prior to the month due
- Send out leasing department statements on the 1st of every month
- Make phone calls to past due clients inquiring about resolving their balance
- Have weekly meetings about A/R attempts and progress
- Update any changes to next month' billing in QuickBooks memorized transaction list
- Bill customers for any expense their vehicle incurs such as repairs, tolls, violations, loss on sale, etc.
- Maintain credit card transactions and repot for fleet/leasing expenses
Qualifications:
o Experience in an leasing/accounting department
o Reliable, solid understanding of basic accounting, fair credit practices and collection rules and regulations
o Detail-oriented computation and organization skills
o Exceptional data entry skills and aptitude for working with numbers
o Meticulously accurate abilities to calculate, post, and manage necessary accounting figures and financial records
o Ability to process and scrutinize data to verify any discrepancies
o Problem solving skills to ensure the resolution of billing issues
o Exceptional data entry skills and aptitude for working with numbers
o Significant, first-hand experience operating spreadsheets and QuickBooks
o Written and computer skills
o Professional verbal communication
