REAL ESTATE LICENSED ASSISTANT
RO Luxury Group is looking for a licensed real estate agent to work as our Executive Assistant to help provide a phenomenal experience for our clients. This team is an award-winning and rapidly growing real estate brand. All duties associated with this position are designed to create a better client experience while generating efficiency for the team, enabling continued business growth and income expansion for all members of the team. All tasks and duties will be executed with the utmost attention to detail and with client service in mind. The perfect candidate is a multi-tasker who can stop a task to execute another and get right back to the previous task. Job duties will take place both in and out of the office and will have a client-facing component. Duties are laid out and tracked in a daily/weekly report.
Responsibilities (include but are not limited to):
- Manage team lead’s email inbox
- Manage team and team lead inbound and outbound telephone and text message traffic
- Act as a conduit for communication from all aspects of the operations: vendors, marketing, clients, transaction management, field reps
- Managing tasks within Buyer and Seller checklists to ensure a precise and consistent experience for all clients
- Manage agent and team member calendars, including setting and confirming appointments
- Engage and act as gatekeeper for inbound organic and paid leads
- Act as gatekeeper for inbound sales calls
- Set showing appointments and showing routes for buyers
- Add and remove lockboxes as needed
- Meet vendors at client properties as needed
- Follow up with agents who have shown our listings and provide showing feedback form to the team lead
- Manage timelines for the implementation of the marketing plan
- Purchase gifts and “pop by” materials for clients
- Create systematized processes and procedures
- Manage team CRM and build workflows within the CRM
- Manage workflow between team and transaction management team
- Execute daily task sheet for team lead
- Coordinate buyer inspections
- Run team and team lead errands
- Collaborate on team events and marketing ideas
- Track all client activity via CRM
- Provide daily/weekly checklists and report to the team lead
- Establish and maintain profound relationships with clients
- Meet the photographer/videographer at listings
- Open listings and prepare homes for buyer visits
- Add/remove lockboxes and sign riders from listings
- Craft listing language for listings
- Prepare listing presentation collateral
- Assist in any team marketing tasks and responsibilities
- Meet vendors at client properties as needed
- Create and send weekly buyer and seller reports
- Show Buyers property on an as-needed basis
- Assist in the coordination of team development projects
Requirements
- Must default to positivity
- Licensed real estate agent in the State of Arizona
- Must be technologically savvy
- Must be proficient in Google Docs and MS Office as well as Google Drive and Gmail
- General knowledge of social media platforms
- Demonstrate high levels of organization
- Excellent time management and ability to prioritize tasks and duties
- Excellent verbal and written communication skills
- Excellent attention to detail
- Must be able to problem-solve on the fly
- Must be able to smile through adversity
- Applicants will be required to currently have an active Arizona Real Estate License
