A Records Manager experienced in the operation and management of the Army Records and Information Management (RIM) Program and the input and maintaining of information in the Army Records Information Management System (ARIMS). A collaborator with experience in Knowledge Management and a firm grasp of with work SharePoint and Electronic Records Keeping (ERK). A team player with strong communication skills and proven ability to complete tasks with minimal guidance.
What you will do: This position supports the Product Manager, Biometrics office under the Program Manager Terrestrial Sensors (PM TS), Program Executive Office for Intelligence, Electronic Warfare and Sensors (PEO IEW&S). The position is located at Fort Belvoir, VA. PdM Biometrics designs, engineers, acquires, deploys, and sustains Enterprise Biometric and Forensic solutions in multiple operating environments enabling identity dominance on the battlefield and across the DoD.
The employee shall prepare and revise acquisition documents in accordance with applicable policies and regulations from Federal, DoD, and Army levels. Successful performance in the Acquisition Specialist function requires at a minimum the ability to make recommendations with contracting expertise based on training and experience equivalent to or meeting Defense Acquisition Workforce Improvement Act Level II for Contracting. The successful candidate needs to possess a working knowledge of the FAR, DoD FAR Supplement (DFARS), and the Army FAR Supplement (AFARS).
Day-to-day duties and responsibilities:
The successful applicant can be expected to perform the following duties in the discharge of this position:
- Program and the input and maintaining of information in the Army Records Information Management System (ARIMS).
- Provides advice to improve the effectiveness and efficiency of life cycle management (creation, retention, maintenance, processing, use, access, release, safeguarding, declassification, final disposition) of records and documentation.
- Recommends and drafts policies and standard operating procedures for Government approval regarding application of RIM regulations, laws, and other regulatory requirements (e.g. AR 25-400-2).
- Periodically performs inspections/reviews and identifies deficiencies, recommends corrective actions, reports inspection results, and follows up to ensure implementation of corrective actions.
- Ensures uniform application of record management regulations and directives.
- Assists with the implementation of orders for holds and freezes of official records.
- Reviews and interprets directives/regulations and reporting requirements from higher headquarters.
- Assists with scheduling meetings, arranging conference rooms and communicating with attendees
- Maintains and updates recurring reports, and slide presentations
- Coordinates support for project office events (which includes but not limited to Town Halls, brown bags, video teleconference sessions, etc.).
- Maintains the OPS Tasker Management Tool (TMT) daily on NIPR and SIPR and distributes taskings to appropriate action officers. Following up to ensure the action officer meets the suspense
- Sending reminders when suspense dates are nearing
- Represent the program office at higher headquarters meetings and teleconferences as required
- Provide support for Quarterly Progress Reports (QPRs), quad charts, and ad hoc reporting as required by leadership.
- Assemble, maintain, and provide Welcome Packets for onboarding personnel within the office, maintain phone and seating roster for the organization
- Provide back-up support for front office Executive Assistant
- Provided word-processing, limited graphics support, desktop publishing, editing and coordination.
- Updating and issuing in-processing and out-processing documentation when necessary.
- Coordinate, staff, and assist in the development/revision of Standard Operating Procedures (SOP), policies and memorandums as necessary and appropriate for smooth operation of the PMO.
- Support ceremony preparations and execution. Program design, rehearsal coordination, script updates, and seating arrangements.
Qualifications we're looking for:
- MUST have experience with ARIMS.
- MUST have experience with SharePoint
- Bachelor's Degree or equivalent with a minimum of two (2) years of experience in records management techniques, skills, and knowledge and providing user instructions and/or training on tools.
- An additional five years of experience may be substituted for a degree.
- Must have an active secret security clearance.
