Job Overview
We are seeking a highly organized, detail-oriented, and TECH SAVVY individual to join our team as a Medical Records Coordinator in our Pre-Litigation Department. The successful candidate will be responsible for managing and coordinating the retrieval, organization, and analysis of medical records crucial to our clients' cases. This role requires a keen understanding of medical terminology, exceptional organizational skills, and the ability to collaborate with legal professionals and medical providers. A non-negotiable skill this individual MUST possess is a knowledge of Microsoft Office, especially Excel and Adobe. If you do not fit this criteria, please do not apply. Responsibilities:
Medical Records Retrieval
- Initiate and oversee the process of obtaining relevant medical records, ensuring completeness and accuracy, some with affidavits and some without.
- Communicate effectively with medical providers, hospitals, and other healthcare entities to request and secure medical documentation.
- Track and follow up on requests to ensure timely receipt of records.
Organization, Analysis, and Maintenance
- Calendaring request follow ups.
- Review records received to confirm records match what was ordered.
- Compare the bills with the date of service for each medical record.
- If medical records are missing, immediately contact the provider and request missing records.
- Double check that providers are listed in the medical breakdown Excel file with correct information, including Date of Service, Charges, Adjustments, Payments by Ins., and Payments by Client.
- Update case management software (Needles) the same day.
- Ensure all records are stored securely and in compliance with privacy regulations and appropriate naming conventions.
Collaboration
- Work closely with attorneys, paralegals, and legal assistants to provide timely and accurate medical information.
Quality Control
- Conduct quality checks on medical records to ensure accuracy and completeness.
- Identify and address discrepancies or missing information promptly.
Qualifications
- MUST BE TECH SAVVY.
- Knowledge of medical terminology and familiarity with various medical specialties helpful.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Familiarity with legal processes and personal injury cases.
- Strong proficiency in using electronic health record systems, Needles, and Microsoft Office Suite (especially Excel).
