Job Overview:
We are seeking a dedicated Surgery Scheduler to join our healthcare team. The ideal candidate will have experience working in a medical office setting and possess knowledge of medical terminology and various medical software systems. You will be responsible for scheduling patients seen in our office for surgery and/or a procedure. You will also assist in coordinating with hospital and surgical center facilities and ensure with utmost care and accuracy that the patient is fully prepared for the procedure or surgery.
Key Responsibilities:
· Schedule and coordinate all procedures and surgeries as ordered by physicians in an accurate and timely manner.
· Provide all surgery information, pre-operative instructions and financial counseling to patients.
· Verify insurance benefits on the procedure to be performed, which includes calculating patient’s financial responsibility.
· Obtain surgical and ancillary service pre-certification/prior authorization from insurance companies when indicated.
· Assist the front desk with payment for patient deductibles, co-pays and co-insurances.
· Coordinate with the hospital and/or surgery center all preoperative laboratories or diagnostic workup, as indicated per the physician.
· Ensure patients requiring medical clearance prior to their procedure have all the clearance letters in the chart and help coordinate such clearance with the patients’ other physicians.
· Ensure that any cancellations or add-ons are properly entered, completed, and communicated to the physician.
· Review all surgery schedules three days prior to the scheduled surgery day to check for errors in scheduling, confirm patient instructions, confirm patient consents, and ensure payment of patient responsibilities
· Answers and returns phone calls and emails promptly within 24 hours to patients, insurance companies, hospital, surgical centers, and other physician offices.
· Crosstrain with receptionist and assist with coverage in other clinical duties as needed by the physician and office manager.
Skills:
· Proficiency in medical office procedures and clinic operations.
· Knowledge of medical terminology for effective communication with patients and providers.
· Strong customer service skills to provide exceptional patient service
· Familiarity with HIPAA regulations to maintain patient confidentiality
Qualifications:
· High school diploma or equivalent, additional healthcare-related education or certification is a plus.
· Proven experience as a surgery scheduler
· Basic knowledge of insurance plans, including Medicare.
· Proficiency in electronic medical record (EMR) systems and medical software.
· Excellent communication and interpersonal skills.
· Strong organizational and multitasking abilities.
· Attention to detail and the ability to maintain composure in a fast-paced environment.
· A commitment to patient satisfaction and delivering exceptional service.
· Leadership and team management skills.
