The Construction Project Administrator will provide administrative support to our project teams, ensuring smooth operations throughout each project’s lifecycle. This role requires keen attention to detail, strong organizational skills, and a collaborative mindset.
Responsibilities:
- Assist with preparing project documentation, including contracts, permits, purchase orders, and other related forms.
- Coordinate and schedule meetings, taking minutes and ensuring action items are tracked and completed.
- Maintain organized and up-to-date project files, both digital and paper-based.
- Communicate with contractors, suppliers, and stakeholders to gather required documentation, such as invoices and certifications.
- Monitor project budgets, process invoices, and ensure timely payments.
- Support the procurement process by liaising with vendors and suppliers.
- Assist with the preparation and dissemination of regular project status reports.
- Provide logistical support, such as coordinating equipment deliveries or site services.
- Ensure compliance with company and industry standards and regulations.
- Manage and archive project-related correspondence.
- Perform other administrative tasks as required.Technical Skills
-Experience with accounting software/ERP systems a plus
-Proficient skills using MS Office with very strong experience using Excel
-Attention to detail with an emphasis on accuracy and quality to minimize risk of errors
-Strong analytical and mathematical skills
Position Requirements:
- Excellent written and verbal communication skills and a strong command of the English language is required.
-Good planning and organizational skills
-Ability to multi-task, prioritize, adapt to changing environment
Physical Requirements:
-Sitting at a desk for 6-8 hours a day
-Working on a computer for 6-8 hours a day
-Typical office environment
-Must be able to pass pre-employment screening that includes background and drug testing.
-May be required to work long and unpredictable hours during peak times
