Position Summary:
Responsible for imaging, scanning and record retrieval operations. Maintain records of all imaged and destroyed documents. Purchase all office supplies, paper products, and general merchandise. Purchase and manage supplies to meet the needs of the organization.
Duties/Responsibilities:
- Follow all credit union policies, procedures, and requirements in addition to all state and federal laws and regulations, including Regulation CC, the Bank Secrecy Act, OFAC and USA Patriot Act/Customer Identification Act (CIP). Educate members on various credit union policies, procedures and related laws and regulations where applicable.
- Purchase and manage supplies through direct shipment or courier runs to branch locations.
- Negotiate pricing with vendors for purchases. Ensure all items and services purchased are of acceptable quality and at the least cost.
- Be accountable for the usage of all supplies to ensure supply needs are met. Research and review new vendor opportunities when applicable.
- Ensure all custom printed documents are in compliance, updated, and free of mistakes before authorizing proofs.
- Prepare and scan all credit union documents as necessary. Verifying imaged documents for completeness, validity and accuracy of the image captured.
- Maintain log of all imaged and destroyed items for compliance.
- Shred all imaged/scanned documents once image backup is authenticated.
- Maintain stored, non-scanned documents in an organized and safe environment.
- Keep imaging system operational, to ensure the highest quality image is captured.
- Complete requested research items and forward in a timely manner.
- Maintain and monitor various subsidiary ledgers. Research and correct any general ledger out of balance conditions.
- Print review and process daily notices as needed.
- Complete applicable month end procedures.
- Assist other accounting team members as directed.
- Other duties as assigned.
Essential Functions:
- Lifting up to 20 pounds may be frequently required.
- Lifting up to 50 pounds may be occasionally required.
- Twisting and kneeling are frequently required.
- Bending, climbing, and reaching above and below shoulder level is occasionally required.
- Some exposure to dust and/or extreme noise levels may occasionally apply.
- Excellent organizational skills and attention to details.
- Excellent oral and written communication skills.
- Negotiation and problem-solving skills.
- Must be bondable.
Education, Training and Experience:
- High school diploma or the equivalent.
- Two years experience as a buyer or in a purchasing environment preferred.
- Ability to use computer software and office equipment.
