Job Summary: As a Cannabis Administrative Assistant, you will play a crucial role in supporting the administrative functions of our facility in Phoenix. You will work closely with various departments to ensure smooth day-to-day operations, compliance with regulations, and contribute to the overall efficiency of our business. This role specifically involves managing events, deliveries, orders, data entry, customer service, and inventory.
Responsibilities:
Administrative Support: Provide general administrative support, including answering phones, managing event calendars, and handling correspondence. Assist in the preparation and organization of documents, reports, and presentations.
Regulatory Compliance: Stay informed about local and state regulations pertaining to the cannabis industry. Assist in maintaining compliance records and documentation.
Record Keeping: Maintain accurate and organized records of inventory, transactions, and other relevant information. Collaborate with other departments to ensure consistency and accuracy in record-keeping processes.
Data Entry: Input and manage data related to deliveries, orders, and inventory accurately and efficiently. Assist in the development and maintenance of databases.
Customer Service: Handle customer inquiries and concerns with professionalism and a customer-centric approach. Coordinate with relevant departments to address customer needs and ensure satisfaction.
Inventory Management: Assist in monitoring and managing inventory levels.
Collaborate with the inventory team to reconcile discrepancies and track product movement.
Order Processing: Process and track customer orders in a timely and accurate manner. Coordinate with the fulfillment team to ensure on-time delivery.
Deliveries: Coordinate delivery schedules and logistics. Track and verify deliveries, ensuring accuracy and completeness.
Qualifications:
Previous cannabis industry experience is highly preferred.
High school diploma or equivalent; additional education or certification in administration is a plus.
Proven experience as an administrative assistant or in a similar role highly preferred.
Proficient in Google Suite, MS Office (Word, Excel) and other relevant software highly preferred.
Strong organizational and multitasking skills with keen attention to detail.
Excellent communication and interpersonal abilities.
Ability to work independently and collaboratively in a fast-paced environment.
