Job Summary:
The primary purpose of your job position is to support the overall administrative activities in accordance with current applicable federal, state, and local standards, guidelines and regulations, and as directed by the Business Office Manager, to assure that proper administrative procedures are maintained at all times.
Duties/Responsibilities:
Customer Service:

Demonstrates positive customer service when performing the role of the Business Office Assistant, with residents, family members, facility staff and medical staff.

Displays flexibility, team spirit, compassion, respect honesty, politeness and accountability when dealing with residents, family members and facility staff.

Demonstrates an awareness of and sensitivity for resident's rights in all interfaces with residents and family members.

Assist in maintaining a good public relations program that serves the best interest of the facility and community alike.

Create and maintain an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment throughout the facility.
Administrative Functions:
-
Perform insurance verifications for new admissions, part B services and other payer sources as needed.

Perform administrative requirements such as completing necessary forms, reports, etc., and submitting to the Administrator as required.

Complete and maintain accurate census reports; verify information on in-coming reports and resolve discrepancies per established guidelines.

Maintain resident trust fund according to Federal, state, and Facility guidelines; proper1y safeguard resident funds and valuables entrusted to the business office; and deposit all funds received per Facility policy.

Maintain cash-flow balances and reconcile bank accounts and petty cash boxes.

Process all accounts payable and update AP monthly budgets to ensure departments are meeting goals.

Assist with AR which includes completing/tracking Medicaid applications and recertification’s, and all collection efforts including small claims court filings and providing information to facility attorney and filing of long-term care insurance.

Serve on various committees of the facility as appointed by the Administrator.

Ensure that an adequate supply of office supplies and equipment are on hand to meet the day-to-day operational needs of the facility.

Request repairs for office equipment as necessary.

Other related duties and responsibilities that may become necessary or as directed by the Administrator.
Resident Rights
-
Maintain confidentiality of all pertinent resident care information to assure resident rights are protected.

Knock before entering a resident’s room.

Ensure that resident's rights to fair and equitable treatment self-determination, individuality, privacy, property and civil rights, including the right to wage complaints, are well established and maintained at all times.

Provide administrative support to resident/group councils as necessary.
Education and Experience:
-
Must possess as a minimum a high school diploma
-
Prefer, 1 year experience in AR and AP.
-
Knowledge of insurance procedures, contracts, etc., covering business transactions is preferred.

Must have knowledge of office machines and equipment
-
Must be able to read, write, speak, and understand the English language.
-
Must possess the ability to make independent decisions when circumstances warrant such action.

Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel and the general public.

Must possess the ability to work harmoniously with other personnel.
-
Must have patience, tact, cheerful disposition and enthusiasm, as well as be willing to handle residents, based on whatever maturity level at which they are currently functioning.

Must possess a working knowledge of microcomputers, input/output data, etc.
Physical Requirements:

Must be able to move intermittently throughout the workday.

Must function independently, and have flexibility, personal integrity, and the ability to work effectively with residents, personnel, and support agencies.

Must meet the general health requirements set forth by the policies of this facility, which include a medical and physical examination.

Must be able to relate to and work with the ill, disabled, elderly, emotionally upset, and at times hostile people within the facility.

Must be able to push, pull, move, and/or lift a minimum of 30 pounds to a minimum height of waist height and be able to push, pull, move, and/or carry such weight a minimum distance of 20 feet

Must be able to assist during emergencies, which will be identified by the Administrator.
