Job Description: The Office Manager - Bookkeeper plays a pivotal role at Southwind Foods' Fort Bragg, CA location, serving as the foundation for our CAITO Fisheries division. This multifaceted position requires adept oversight of both administrative and financial functions, demanding a meticulous eye for detail and a knack for organizational finesse. Responsibilities:
- Manage day-to-day front office operations, including answering phones, responding to emails, and greeting visitors.
- Maintain accurate financial records using accounting software and spreadsheets.
- Process accounts payable and accounts receivable transactions, including invoice processing, billing, and collections.
- Reconcile bank statements and ensure accuracy in financial transactions.
- Assist in preparing and processing payroll for employees, ensuring compliance with relevant regulations and company policies.
- Assist in the preparation of financial reports, including profit and loss statements, balance sheets, and cash flow statements.
- Monitor and track office inventory levels, coordinating with the procurement team to ensure adequate stock levels.
- Assist in the preparation of annual budgets and forecasts, providing input on expenses and revenue projections.
- Coordinate with external vendors, suppliers, and service providers to ensure timely delivery of goods and services.
- Assist in human resources functions, including maintaining employee records, processing new hires, and managing employee benefits.
- Maintain confidentiality of sensitive information and adhere to company policies and procedures.
- Support management with special projects and tasks as needed.
- Compute and record numerical data accurately.
- Check the accuracy of business transactions and perform data entry and administrative duties.
- Document transaction details and enter financial transactions in databases and or ERP systems.
- Organize financial reports and fact-check accounting information.
- Notify senior staff of accounting errors and oversee the work of office employees to ensure productivity and adherence to deadlines.
- Learn each functional area to provide support during planned absences or coverage as needed.
- Develop and implement office policies and procedures to guide operations effectively.
- Prepare financial statements, maintain budgetary control, and report on GL, P&L, and Balance Sheet.
- Reconcile bill payments, credit card transactions, and bank statements.
- Collaborate with HR on hiring processes, assist in training, and manage employee timesheets, overtime, tardiness, and callouts.
- Oversee all aspects of bookkeeping, including AP, AR, and financial reporting.
- Coordinate with corporate CFO for tax preparation and audits.
- Manage office supplies, equipment, meetings, and events scheduling.
- Coordinate with vendors and service providers to ensure smooth office operations.
Additional Responsibilities:
- Provide administrative support to other departments as needed.
- Assist with event planning and coordination of company functions.
- Perform general office duties, such as filing, photocopying, and data entry.
- Act as a liaison between employees and management to address concerns or inquiries.
Qualifications Background – Education:
· Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
· Minimum of 2-3 years of experience in bookkeeping or office management roles.
· Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite.
· Strong attention to detail and accuracy in financial record-keeping.
· Excellent organizational and time management skills.
· Ability to work independently and prioritize tasks effectively.
· Knowledge of relevant laws and regulations related to accounting and office management.
· Strong communication and interpersonal skills.
