Job Summary:
The expectation of the Accounting/Finance Staff is of one who ensures timeliness, accuracy and transparency in all financial aspects of the practice. Serves as a support function to the Practice Manager and Office Manager to provide timely insight into operational and financial metrics that allow them visibility into the

The PM has a demanding and visible position requiring maturity, and a broad range of experience and expertise. Industry experience is a must for the dynamic candidate that will be required to lead development and execution of the expansion business plan, scalable processes, continued growth strategies and then implementing, monitoring, motivating, delegating and holding the team members accountable to achieving desired results. Must be a team oriented leader partnering with senior management to ensure continued success of the practice. Significant role that requires a dynamic and energetic leader that has an insatiable desire for personal achievement as well as the ability to lead, coach, mentor, motivate and hold staff accountable.

Duties and Responsibilities:
Day-to-day operational leadership in the areas of marketing, sales and finance to ensure that processes are in place and operating effectively to provide excellent patient care, superior service, and optimal practice productivity and profitability. The role is an executive level business position responsible for all aspects of the practice.
- Practice Management (PM) - Leadership / Strategty-
- Manages the patient experience, ensuring it is exceptional in all facets (phone inquiries and appointment scheduling, patient greetings upon arrival and departure,wait times, consultation, coffee/water, educational material, loyalty and promotional programs, etc).
- Knowledge of all products and services and ensuring the staff is educated and is communicating this information to the patients accurately and succinctly. Ensuring patients understand the value of the services,the benefits and the range of services that the business offers. The WHY, unique value proposition on a menu of comprehensive services.
- Handles all patient complaints and makes appropriate decisions to remedy without compromising the integrity of the practice.
- Tracks patients' lifecycle value to maximize experience and sales, and to recognize and acknowledge patient loyalty.
- Is the ambassador for the practice in the community by attending local events and creating strategic partnerships.
- Conducting daily huddles to cover scheduling, any training issues, office culture, etc.
- Coordinates monthly staff meetings and presents results and expectations based on data and facts. What is working and what is not? What changes are designed for optimal growth of the practice? Identifying gaps and addressing them with staff.
- Leading in a manner that encourages team member engagement and excellence, and ultimately results in low employee turnover which maximizes consistency in the practice.
- Implements, tracks and communicates progress towards daily,weekly, monthly goals and coaches employees through the process in order to achieve success.
- Responsible for creating monthly and quarterly bonus metrics along with the accountant.
- Works closely with Dr. Durst in setting and executing business KPIs.
- Develops alongside other executive team members a strong B2B business model.
- Operations-Execution
- Designs and implements policies and procedures related to day to day operations.
- Designs and implements policies to ensure all healthcare compliance matters are identified and addressed, office policies and procedures are being followed and that all employees are trained and held accountable to the requirements of their position.
- Ensures staff scheduling levels appropriately balance patient care needs and practice costs.
- Ensures patients are scheduled appropriately to provide high-level care, minimal wait times, provider utilization and maximizes profitability.
- Ensures inventory levels are adequate for patient care needs without having excess product/supplies.
- Working with the Medical lead to ensure service and safety standards are defined and followed at all times.
- Working with the Medical lead to ensure staff is trained appropriately to provide services within scope of practice.
- Maintains all maintenance and safety logs.
- Is responsible for medical and admin product ordering.
Position Requirements:
- Must have the ability to understand the goals of the practice and work to create the plan of action to obtain the goals independently, as well as with the Medical Director.
- Have a pulse on current industry market trends, regulations and laws that may impact the business, and recommend a strategy for the business’ response.

- Industry Knowledge – Requires a clear understanding of the aesthetic and wellness industries, including marketing, sales, products, services, service delivery model, technology, analytics, finances, and customer service. Sales and cash based business experience is a must.

Education and Experience Requirements:
- Bachelor’s Degree
- Minimum 5 years’ experience in healthcare management, preferably in a medical spa, plastic surgery or cosmetic dermatology practice.
